The Cecil B. Day School of Hospitality Administration is the oldest and largest program of its type in the state of Georgia. It is named in honor of the late founder of the Days Inn Hotel Company. The Cecil B. Day School of Hospitality Administration is seeking (1) Administrative Coordinator to join the already awesome team taking the Hospitality Administration Department to the next level of excellence!

HERE IS WHAT YOU WILL DO
The ideal candidate for this position will be the first line of support for our students, staff, and faculty in the hospitality administration department. The position will also carry important relational responsibilities with industry partners, alumni, future prospective students, and other GSU and Non-GSU stakeholders. The scope of responsibility will include these essential duties but is not limited to the following:
Administrative:
  • Maintains department records and files in an accurate, secure, and efficient manner
  • Responsible for department mailings and incoming/outgoing physical correspondences
  • Maintains departmental website by communicating with RCB webmaster with the most up-to-date information
  • Manages departmental telephone and email communication.
  • Assists faculty with technology and facilities requests.
  • Assists faculty with desk copy requests, syllabi collection for each course taught, scantron requests, as well as copying, scanning, and faxing of instructional material.
  • Assists business manager with identifying and assigning tasks to student staff.
  • Provides excellent service; serves as the first point of contact and support to all GSU and Non-GSU stakeholders; provides department-specific information to prospective students, industry partners, the university community, and the general public.
  • Responsible for office supplies and inventory identifies purchasing needs and works with the business manager to replenish supplies.

Academic:
  • Assists with communicating academic scheduling activities with the college coordinator to uphold RCB policies and standards for RCB student requirements and eligibility to enroll in RCB courses monitors course enrollment hours per semester basis and identifies discrepancies.
  • Assists with course authorization requests.

Program Support:
  • Communicates the standards and processes of RCB Career Advancement Center to hospitality students; assists with reviewing hospitality job and volunteer opportunities for students on a daily, weekly, and monthly basis with guidelines set by the department.
  • Assists undergraduate student recruitment by attending on-campus events and speaker opportunities to showcase the hospitality department, and email outreach to prospective students.
  • Admin role for social media (Facebook, Instagram, Twitter), overseeing and creating content for consistent, engaging posts; communicating calendar of posts to business manager.
  • Regular email blasts for all hospitality student organizations (currently there are six organizations) and serves as co-advisor to assist student organizations when needed (for example: communicate with student organizations on a regular basis to keep student officers informed of all standards and policies from the University)

Meetings & Events:
  • Coordinates all meeting space reservations and requests for a student organization, faculty, and departmental events; assists in the scheduling and planning of meetings and events (coordinating student volunteers and necessary materials such as meeting collateral and supplies)
  • Assists in planning itineraries for conferences, speaker series, and industry board meetings.
  • Assists with the planning and attends weekly staff meetings with the business manager, monthly faculty meetings, and monthly student staff meetings.
  • Assists business manager and department chair with special events and projects.

Qualifications:
Minimum Requirements:
  • Bachelor's degree and one-year administrative experience; or high school diploma or GED and five years administrative experience; or a combination of education and related experience.
Preferred Hiring Qualifications:
  • Experience in the Hospitality environment
  • Experience with Zoom, Banner, Microsoft Teams, and other university software
  • Strong organizational acumen and a proclivity for attention to the details
  • Able to multi-task, proactive with independent decision-making.
  • Ability to think critically about issues and opportunities and identify solutions and options.
  • A self-starter, and quick learner with awareness to meet deadlines.
  • Exhibit a willingness to learn new applications and utilize technological solutions in approaching tasks.
