This position will provide a wide range of Administrative Support to the business office and physician leadership. This is not a patient-facing role but, rather, a departmental administrative role. As an integral part of the department, this person will perform a multitude of duties to help leadership effectively serve the strategic goals of the organization.
Key Responsibilities:
- Maintain department calendar. Schedule meetings and appointments. Manage complex multi-stakeholder schedules with meticulous attention to detail.
- Work with physician leadership to create and manage physician daily clinical schedules through the web-based scheduling platform (QGenda).
- Generate and maintain accurate reports and databases regarding all information as they pertain to physician’s schedules.
- Assist with provider billing processes by ensuring billing documentation is obtained, reviewed for accuracy, and submitted appropriately to billing company.
- Working knowledge of QuickBooks and accounting software.
- Process invoices through the Company’s accounts payable system.
- Assist vendors with questions regarding information on invoices & payments.
- Assist with the provider credentialing processes in accordance with Medical Staff and Facility bylaws as indicated.
- Perform related general office duties, such as answering phone, open, sort and deliver mail, monitoring and ordering standard supplies, operating office copier, collating and assembling documents, accepting and delivering interdepartmental correspondence, typing routine correspondence and forms, maintaining files, etc.
- Schedule meetings and handle logistics for meetings and special events.
- Prepare materials for meetings and special events.
Qualifications:
- This is a small administrative team. Must be a highly-flexible self-starter, able to work independently with high level of accountability.
- Technical Proficiency: Advanced skills in MS Office Suite (Excel, PowerPoint, Word), QuickBooks, scheduling software (QGenda, to be trained on the job), and the ability to adapt to new technologies quickly. This includes managing emails, calendar scheduling, creating presentations, and handling data analysis
- Professionalism and Discretion: High level of integrity, confidentiality, and professionalism in handling sensitive information and dealing with employees and patients.
- Adapt to rapidly changing priorities with resilience, embodying a proactive and anticipatory approach to managing tasks and challenges.
- Excellent communication and interpersonal skills to communicate with a wide variety of non-clinical and clinical staff including physicians, providing information with appropriate deference, ordinary courtesy, and tact.

- Critical Thinking and Problem-Solving: Strong analytical skills to assess situations or challenges critically and come up with effective, innovative solutions. Solve physician scheduling problems independently when appropriate.
- Highly resourceful team-player, with the ability to also be extremely effective independently.
Requirements:
Proven experience in an Administrative Support role in a professional office environment including support for partners at a firm, C-Suite or senior-level physicians.
Bachelor’s degree in a relevant field or associate degree with equivalent years of experience is preferred.
Working Hours: Open as early as 7 am and closes around 5 pm. Physical Demands/Working Conditions: Normal office environment with minimal exposure to noise, dust, or extreme temperatures.
