Overview
This position is responsible for providing administrative assistance for the operations of the Fire Department.
- Processes department payroll; tracks employee leave.
- Processes accounts payable; processes requisitions for payment; reviews credit card transactions.
- Processes accounts receivable; receives payments for burn permits, certificates of occupancy, incident reports, donations, etc.
- Performs budget inquiries to check account balances and verify adequate funds.
- Initiates journal entries to transfer funds for budget adjustments.
- Maintains personnel files, including leave forms, personnel action forms, and evaluations.
- Sorts and distributes incoming mail.
- Answers telephone and greets visitors; provides information and assistance; refers to appropriate personnel.
- Generates and prints reports.
- Compose memorandums and other documents as requested
- Maintains office supply inventory; reorders as needed.
- Notarizes documents.
- Manages the department’s contributions to the Firefighter’s Pension fund as well as provides information about the fund to new members.
- Maintains outside donations for various departmental programs ( Mayor Motorcade, Shop with a Firefighter, 9/11 5K).
- Assists with planning and facilitating ceremonies and dinners.
- Assists in maintaining the Fire Chief’s calendar.

Qualifications
- Knowledge of modern office practices and procedures.
- Knowledge of city and departmental policies and procedures.
- Knowledge of computers and job-related software programs.
- Knowledge of budget management principles.
- Skill in prioritizing and organizing work.
- Skill in the provision of customer services.
- Skill in the maintenance of files and records.
- Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
- Skill in oral and written communication.
- Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
- Sufficient experience to understand the basic principles relevant to the major duties of the position usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
