The School of Architecture is seeking a Special Projects Coordinator! This is a new full-time staff position which will support the school by assisting Faculty with the administration of internally funded programs to ensure that the programs run efficiently. The individual in this position will work closely with the Finance team to ensure that all payforms are completed for guests and participants, and that receipts are entered and reconciled in a timely manner.
This position will support faculty recipients of endowment funded grants from the P.J. Dick Innovation Fund, Isabel Sophia Liceaga Fund, Ann Kalla Professorship, Joseph Thomas Professorship, the UDream program, etc. Additionally, this position will support the Director for Career Development and Outreach by assisting in securing internships for master's students in programs with an academic internship requirement. This role requires a detail-oriented individual who will assist in the coordination of guests, events, and related administrative paperwork and tasks.
Your core responsibilities include:
- Ensure that receipts are collected and reconciled in a timely manner
- Help to monitor spending against budgeted amounts
- Assist director(s) with participant communications, arrangements for on campus and off-campus housing, communication with program instructors and guests
- Assist faculty and directors whose programs require travel, assist with identifying lodging and transportation options, and collect release forms for participants
- Provides post trip support to collect and reconcile receipts
- Support other School of Architecture events such as semester reviews and commencement

You should demonstrate:
- Strong oral and written communications skills
- Strong attention to detail
- Organization and planning skills
Qualifications:
- 3-5 years administrative experience
- Proficient with Google Docs and Google Sheets
- A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered
Preferred Qualifications:
- Prior experience working in a higher education environment
- Knowledge of Oracle Financial system for reconciliation of Expense Reports Procurement Card purchases
