Project Coordinator Job Description:
The Project Coordinator is responsible for providing coordination and administrative support to the officers, sales department and office staff of the company. These duties include but are not limited to entering sales orders, assisting sales with procurement of goods, coordinating shipping and receiving of products, filing incoming material paperwork and certifications, creating and updating job tracking spreadsheets, processing accounts payables / receivables.
Essential Duties and Responsibilities:
- Entering Sales Orders
- Entering Invoices
- Creating Shipping Paperwork
- Creating Appropriate Material Certifications Forms
- Coordinating Logistics (Scheduling Trucks / Packing Slips)
- Sending RFQs for various items to be purchased
- Processing incoming material certifications
- Processing Accounts Payables
- Process Purchase Orders to Suppliers
- Fielding Telephone Calls and Taking Messages
- Filing
- Creating Spreadsheets
- Maintain and Follow Office Procedures
Job Knowledge, Skills and Abilities:
- Remain organized during trying circumstances and during complex tasks
- Excellent written and verbal communication skills
- Prioritize tasks based on importance and re-prioritize as needed
- Ability to multitask
- Maintain a high level of organization of all office documents and ongoing tasks
- Maintain a high level of confidentiality
- Manage an office including ordering office supplies and filing paperwork
- Perform clerical and administrative tasks quickly and accurately
- Computer Knowledge Including: QuickBooks, Microsoft Office Suite including Outlook, Excel and Word
- Able to work with some supervision and capable of self-checking for completeness and accuracy of work produced
Education and Experience:
- High School Diploma required with 2+ Relevant Experience
- 2 or 4 Year Associates Degree / Bachelors Degree in Business or Engineering is a plus
- Project Management Skills are a plus
