Responsibilities
Major Responsibilities
- Bookkeeping: Prepares for monthly finance meetings. Invoices clients, pays invoices, runs payroll, manages insurance reporting requirements. Independently complete monthly, quarterly, and yearly bookkeeping for small to mid-size businesses. This includes recording transactions, bank feed, monthly account reconciliations, journal entries, reviewing receipts, etc.
- Billing and dispute resolution: Manages monthly billing, credit card declines and chargeback resolution
- Scheduling: Manages company schedule and serves as a scheduler for Owner
- Marketing: Assists with marketing efforts on Google, Facebook, Instagram Nextdoor, Yelp, and email blasts
- Project administration: Manages contracts, invoices and communication with our pool partners
- Monitoring stock & inventory and communicating out-of-stock items with sales team
- Assists with team scheduling
- Provides support to management as requested.
Payroll and Attendance:
- Oversee payroll processing for swim instructors and staff, including accurate tracking of class hours.
- Ensure timely distribution of salaries and address any payroll-related inquiries.
- Monitor attendance records for swim instructors and coordinate with scheduling needs.
HR Compliance:
- Stay current on local, state, and federal regulations related to swim school operations.
- Ensure swim school policies align with legal requirements, conducting audits as needed.
- Implement safety protocols and certifications required for swim instructors.
Benefits Administration:
- Administer existing employee benefit programs, including health insurance and professional development opportunities.
- Assist instructors and staff with benefit-related inquiries and coordinate training sessions.
Recordkeeping and Documentation:
- Maintain accurate and up-to-date records of swim instructor certifications and staff documentation.
- Ensure confidentiality and security of employee information.
Skills & Qualifications:
- Experience: 5-10 years human resource management, bookkeeping and client services experience
- Technology: Thorough knowledge of and experience with QuickBooks Online and GSuite (GMail, GCal, GDocs, GSheets). Comfortable using technology to manage workflow
- BA/BS in Accounting/Finance/Business Administration/Human Resources or equivalent 5 year minimum Bookkeeping and Human Resource experience.
- A detail and solution oriented mindset, the ability to prioritize effectively, meet deadlines, follow through to execute all tasks and demonstrate a high degree of accuracy.
- Self starter with excellent research, analytical, time management and organizational skills
- Have excellent verbal and written communication skills, responding to internal and external needs in a timely manner and listening, being thoughtful in your response, and setting clear expectations.
- Demonstrated ability to work independently and as a team member across disciplines with team members in finance, partnerships & revenue, technology and operations.
- Proven ability to thrive in a remote work environment; self-directed; proactively reaches out; responsive; comfortable in a virtual setting
- Ability to travel, as needed, for in-person and occasional team meetings.
- Ability to thrive in a fast-changing environment, flexible in the pursuit of goals
Pay is determined based on experience

- Remote Office with monthly in person meetings

- Flexible: Primarily Monday to Friday, some occasional weekends.
