Job description

The Corcoran Department of History at the University of Virginia (UVA) seeks applications for a Senior Fiscal and Administrative Coordinator.
The University of Virginia's Corcoran Department of History has long been an anchor of the College and Graduate School of Arts & Sciences. Members of the Department are nationally and internationally recognized for their scholarship and teaching and specialize in a wide range of disciplines. Offering over 100 courses a year, the faculty teaches introductory surveys, seminars and colloquia to undergraduates and graduate students.
The successful candidate will be expected to support several operational functions including fiscal administration, procurement, human resources, academic support, student services, communications, and other administrative functions including special projects, on occasion. Senior Coordinators are responsible for many of the same duties as Intermediate Coordinators, however, they operate with additional authority, independence, or level of complexity. They demonstrate an understanding of the organizational culture and business drivers and are able to anticipate team needs and expectations. They interpret policies and establish internal procedures across multiple functional areas and perform work tasks independently with little supervision. The incumbent may supervise students and other support staff. The Senior Fiscal and Administrative Coordinator will report to the department's finance and administration manager.
Job responsibilities include:

  • For fiscal administration (approximately 50%): may prepare expense reports, supplier invoices, and purchase requisitions; hire undergraduate and graduate student workers and process student stipends; enter and extract financial information and prepare reports; monitor faculty accounts and provide fund balances to faculty; prepare monthly reconciliations; participate in budget preparation; and process purchases on behalf of students and faculty on the department's P-card.
  • For general administration (approximately 30%): may answer phones; sort mail; order supplies; place facilities maintenance work orders; prepare correspondence; maintain calendars; complete website updates; arrange meetings and events including receptions, lectures, and graduation; coordinate travel arrangements; supervise student workers; and maintain records.
  • For academic support (approximately 20%): may assist students with academic program questions; support administrative faculty with major and minor declarations, advisor assignments, monitoring enrollment, course scheduling, tracking leave and course releases; and provide support for faculty committees including promotion and review, hiring, etc.
  • In addition to the above job responsibilities, other duties may be assigned.
Required Qualifications:
Education: High School Diploma
Experience: Six years of experience. Bachelor's degree may substitute for experience.
Preferred Qualifications:
  • Experience working in a higher education setting.
  • Experience working with UVA Systems (Workday, Collab, Box, SIS, and/or UBI).
  • The ability to work independently, to make sound decisions based on policies and procedures, manage multiple priorities simultaneously, be dependable, and possess a strong attention to detail.
Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs. The position is located in Charlottesville, VA.
The anticipated start date is January 15, 2024. This position will remain open until filled. Review of applicants will begin January 2, 2024.
Compensation: Anticipated hiring range will be $24.04-$26.44/hour ($50,000-$55,000/yr) commensurate with education and experience. This is a non-exempt level, benefitted position. More information on UVA benefits can be found here.
