Anticipated Starting Salary Range: $43,000 - $50,000

The State Corporation Commission (SCC) is seeking an Administrative Coordinator to join our Health Benefit Exchange (HBE) division. This position offers the unique opportunity to join Virginia’s recently transitioned state-based exchange and will join a growing professional team. The Administrative Coordinator will be responsible for providing administrative support to the HBE’s External Affairs and Policy team. This position offers a hybrid work schedule (generally 3 days of telework and 2 days in office per week) as well as opportunities to attend job-related training.
Responsibilities of this position will include:
- Scheduling in-person and virtual meetings and events, and meeting logistics coordination
- Maintaining division calendars, contact list management, and template and newsletter formatting
- Tracking and communication support for division in-boxes
- Assisting in consumer problem resolution
- Drafting and distributing meeting agendas, minutes, and notes as needed
- Conducting research
- Preparing presentations
- Managing files and records
- Coordinating materials for marketing events
- Providing support to supervisors and staff with travel reimbursements
- Collating team contributions for the HBE Weekly Report
- Offsite event planning
- Expense tracking
- Formatting and finalizing documents and correspondence by proofreading; editing for grammar, punctuation, spelling, clarity, and word usage
- Assisting with website updates as needed
- Tracking and scheduling continuing education and training for division staff
- Processing division mail
- Ordering supplies and materials
- Performing related duties as assigned
Qualifications
Preferred qualifications include experience providing administrative support to office staff. The ability to thrive in a fast-paced and evolving work environment is essential. Excellent written and verbal communication skills, experience using meeting coordination and email automation software, and the ability to effectively and professionally manage and communicate technical, sensitive, and/or confidential matters to diverse groups of people are essential. Ideal candidates for this position will readily adapt to new situations and be open to change; anticipate administrative needs of a team; have strong problem-solving skills; identify and resolve problems in a timely manner; gather and analyze information skillfully; develop alternative solutions; and work well in group problem solving situations. The ability to manage and meet multiple and tight competing deadlines, shift quickly from one task to another, and the ability to establish and maintain effective working relationships with state officials, SCC staff, and the general public is essential. Applicants must be proficient in the use of a personal computer, particularly with email software (Microsoft Outlook is utilized), Microsoft Teams, Word, SharePoint, Excel, and PowerPoint.
