Job Description:
The University of Albany seeks applicants for an Assistant to the Senior Executive Director within the School of Criminal Justice (SCJ) to help support the direction and management of administrative functions and programs. The successful candidate will serve as a key member of the Rockefeller College leadership team by initiating, directing, and managing special projects for both faculty and staff and ensuring that the SCJ mission is carried out.
Primary Responsibilities:
  • Serve as Senior Advisor to the School of Criminal Justice's Senior Executive Director (SED), an active member of the SED's Leadership Team, and as a key member of the Rockefeller College/School of Criminal Justice administrative staff.
  • Provide confidential advice and support services to the dean, Senior Executive Director (SED), and senior leadership.
  • Provide direct supervision to the School's office assistant(s) and supervise support staff and student assistants as required.
  • Plan, organize, and support the implementation of new/revised academic program proposals.
  • Prepare the SED for meetings and discussions such as creating the SED's report for faculty meetings.
  • Collaborate with the SED on School, College, and University Governance issues.
  • Manage the development and submission of internal funding proposals.
  • Manage budget and prepare, review, and maintain SCJ budgets, including State, Research, IFR (including Internship account), UAS, and University at Albany Foundation accounts.
  • Manage the School's University at Albany Foundation Scholarship accounts and the awarding of scholarships and fellowships to students, including coordinating all award processes and activities.
  • Manage and develop requests to fill vacant positions by coordinating the completion and submission of personnel transactions for new appointments and change in status activities.
  • Manage lists of faculty rosters, including courses taught and faculty activities. Produce summary reports for reappointment, promotion, and tenure decisions, as well as faculty award nominations.
  • Provide general support for current students. Respond to student inquiries and direct students to appropriate resources when necessary.
  • Ensure proper use of University Procurement Card (Citibank Visa), administer Travel Card program, and NET card.
  • Manage and supervise purchasing of OTPS (other than personal service); track expiration, updates, and legal distribution of software.
  • Provide oversight of the financial and administrative processes of Criminology journal now housed in the School of Criminal Justice.
  • Manage SCJ assessment activities, to include learning objectives, administrative reviews, program reviews.
  • Lead, direct and manage community engaged projects and activities for SCJ, including the Justice & Multiculturalism in the 21st Century project and the Laboratory on Decision Making in Crime, among other projects.
  • Serve as primary point of contact with external constituencies (e.g., federal, state, and local agencies, community organizations) seeking assistance with conferences and training activities.
  • Serve as the Administrative Director of the Albany Symposium on Crime and Justice.
  • Provide content and editing, as needed, for College and School publications and websites.
  • Manage the speaker series, symposiums, and other School sponsored events, conferences, and program activities.
  • Support the dean, SED and director of development on alumni relations and development activities.
  • Serve as SCJ's representative on select campus committees.
  • Serve as a liaison with the University and College on behalf of SCJ, which includes communicating changes in SCJ policies or procedures, verifying changes do not conflict with existing policy, and communicating University-wide policy and procedure changes to faculty, staff, and students as necessary.
  • Manage Visiting Scholars Program, which includes coordination with ISSS, serving as the main point of contact with the scholar, and planning and facilitating activities during scholar's stay.

Requirements:
Minimum Qualifications:
  • Bachelor's degree from an accredited institution
  • A minimum of two to three years of professional administrative experience in a college or university
  • Experience in program development and management, evaluation, and budgeting
  • Experience with Microsoft Office, Zoom, and other data management software
  • Strong written and oral communication skills
  • Strong organizational skills and ability to multitask
  • Ability to work independently and take initiative

Preferred Qualifications:
  • Master's degree in business, educational administration, or related field.
