Summary
The Department of Ophthalmology is seeking a highly qualified Senior Coordinator, Executive Support to coordinate the high volume output of the department Chair. The Senior Coordinator will coordinate all aspects of the Chair, in relation to the college missions of patient care, education and research. The ideal candidate will be a self-starter who has the ability to manage a multifaceted, high volume office.
Job Duties
The Senior Coordinator, Executive Assistant will need to be multi-dimensional with the ability to accomplish the following:
- Coordinates and manages all aspects of the Department Chairs office to include meetings, travel, lectures, research, financials and day-to-day activities.
- Organizes and arranges travel via Jaggar; establishing and communicating itineraries; confirming reservations.
- Initiates reimbursements
- Maintains active professional memberships to a multitude of organizations both internal and external to Baylor College of Medicine and Ophthalmology.
- Coordinates and establishes routine meetings both in person or virtually; take minutes of the meetings.
- Coordinates the processes in relation to faculty appointment and promotion with the Office of Faculty Affairs.
- Assists as needed with department functions, conferences, grand rounds and seminars.
- Compiles data and documentation for various reasons/needs.
- Schedules interviews, travel and itineraries for interview candidates.
Minimum Qualifications
- High School Diploma/GED.
- Four years of relative experience.
Preferred Qualifications
- College Degree or some completion of college courses.
- Strong oral and written communication skills.
- Experience working with high level executives and other professionals in a fast paced, multifaceted office setting is highly desirable.
- Academic medicine experience.
