Reporting to the Executive Director, Global Talent & Leadership (GT&L), we are looking for a capable and pro-active Administrative Assistant to partner with and support the Exec. Dir., Global Talent & Leadership Lead, the Exec. Dir., Talent Enablement Lead, and a team of professionals across the Talent Centre of Excellence.

The role sits within a cross-functional, matrix and remote organization, so the successful candidate should be able to prioritize and manage workload and relationships across a number of stakeholders. The position will also require strong verbal and written communication skills, the ability to work both independently and collaboratively, be comfortable with multi-tasking on diverse responsibilities, and be able to work in a fast-paced environment.

The ideal candidate will have a basic understanding of Talent Management functions, including some of the tools and processes associated with career development, leadership development, succession planning, performance management, skills management, and diversity & inclusion.

The primary activities include and are not limited to the following:

  • Manage schedules, correspondence, and meeting setup, including team meetings and events both on-site and off-site.

  • Manage processing expense reports, purchase orders and payment requests and vendor add forms.

  • Manage scheduling of complex travel arrangements including multi-leg domestic and international travel including processing of Visas/Passports

  • Effectively and professionally liaise with both internal and external partners.

  • Liaison with Global Talent Acquisition as needed to support hiring & onboarding activities.

  • Manage team sites, electronic files, and other data in a systematic way for enduring use. Facilitate and assemble pre-read materials as needed.

  • Complete various work assignments requiring creativity and problem-solving skills.

  • Appropriately build and manage relationships to achieve outcomes consistent with GT&L Operating Model responsibilities and scope, including effectively interacting with US and International executive offices and internal/external clients both on-site and remotely to maintain workflow.

  • Monitor and track team and project related expenses and budget .

  • Adhere to all compliance and policy requirements of HR and the company.

  • Support other routine or ad hoc tasks and projects as assigned.

  • Provide back-up support to other admin team members as needed, and participate in cross-training with our HR community of admins

Education:

  • Required: High School Diploma

  • Preferred: Advanced education or certifications such as (e.g., Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)

Required:

  • Minimum of(8) years Administrative Assistant experience

  • Minimum of(3)yearsExecutiveAdministrative experience supportingsenior executives (Executive Director, VP or above)

  • Proficient in computer skills using MS Office Suite (Outlook, Word, Excel, Power Point etc.) and operation of other peripheral devices.

  • Experience processing: Expense Reports (Concur); Purchase Orders and Payment Requests; Vendor Add Forms (Ariba, Fieldglass)

  • Experience scheduling complex travel arrangements including multi-leg domestic and international travel.

  • Documented experience as a strong performer in current and past positions

  • Ability to handle and prioritize a large number of simultaneous assignments.

  • Experience with event planning and coordination

Skills:

Required:

  • Self-starter whose work priorities and activities are reviewed with little supervision.

  • Strong organizational, prioritization and time management skills

  • Strong communication & people skills at a level to effectively interact with organization executives, managers, employees and external stakeholders.

  • Ability to problem solve through investigation and solution identification.

  • Proficient with or ability to learn and utilize HR systems, including Workday, to complete routine and ad hoc assignments.

  • Extraordinary attention to detail

Preferred:

  • Project management experience

Under New York City, Colorado State, Washington State, and California State law, the Company is required to provide a reasonable estimate of the salary range for this job. Final determinations with respect to salary will take into account a number of factors, which may include, but not be limited to the primary work location and the chosen candidate's relevant skills, experience, and education.

Expected salary range:

$76,000 - $119,700

U.S. Hybrid Work Model
