We are currently seeking a part-time Secretary Receptionist to join our exceptional team in Metuchen, NJ. The ideal candidate will combine an engaging personality with an ability to maintain organization in a busy environment. This customer-oriented individual will also be able to meet the following job description and possess the following skills requirements. An extensive training program will ensure proficiency prior to independent work.

Job Title: Physical Therapy Office Receptionist
Job Summary: As a Physical Therapy Office Receptionist, you will serve as the first point of contact for patients, providing exceptional customer service and managing various administrative tasks to support the daily operations of the clinic. Your role is vital in creating a positive and organized environment for both patients and staff.
Key Responsibilities:
Patient Interaction:
- Greet and welcome patients and visitors with a friendly and professional demeanor.
- Assist patients with the registration process, including verifying insurance information and collecting necessary paperwork.
- Schedule appointments and coordinate with physical therapists to ensure efficient scheduling.
Phone and Email Communication:
- Answer phone calls promptly, providing information, scheduling appointments, and addressing inquiries.
- Respond to emails and messages, maintaining clear and professional communication.
Records Management:
- Maintain patient records, ensuring accuracy and compliance with confidentiality regulations (e.g., HIPAA).
- File and organize paperwork related to patient charts, insurance claims, and billing.
Billing and Payment Processing:
- Collect co-pays or payments from patients and accurately record transactions.
- Assist with insurance billing and claims submission, as needed.
Office Maintenance:
- Ensure the reception area is clean, organized, and well-maintained.
- Order and manage office supplies, including patient forms and informational brochures.
Appointment Reminders:
- Contact patients to confirm upcoming appointments and reschedule as needed.
Problem Solving:
- Address patient concerns or complaints professionally and escalate issues to management when necessary.
Team Support:
- Collaborate with physical therapists and other staff members to facilitate patient care.
- Assist with administrative tasks, such as filing, data entry, and maintaining appointment schedules.
Qualifications:
- High school diploma or equivalent
- Strong communication and interpersonal skills. Bilingual is preferred but not necessary.
- Excellent organizational abilities and attention to detail.
- Proficiency in using office software, such as word processing and scheduling programs.
- Knowledge of medical terminology and insurance processes (preferred).
- Ability to maintain a calm and professional demeanor, especially in busy or stressful situations.
- Prior experience in a medical office or receptionist role is advantageous.

Equipment an other surfaces are sanitized between patients. Proper hand hygiene is practiced by all team members and enforced with patients. Patients are kept at safe distances.
