Full-time, day position available for a busy family-owned and operated Physical Therapy office and personal training studio. Hours vary throughout the week, with longer days on Monday, Wednesday, and Friday. Shorter days on Tuesday and Thursday. Weekends and Holidays off. Applicant must be highly organized and able to handle multiple responsibilities with accuracy. Work closely with Owner/Physical therapist on special research projects.
Minimum Education:
High School or higher

Job Responsibilities
- Being a positive first contact with patients and clients.
- Answer telephone and follow up with calls/giving messages as appropriate.
- Schedule Physical Therapy and personal training clients. Keep an accurate and up-to-date schedule and follow up on missing patients/clients, no shows, and cancellations.
- Maintain patient charts for current prescriptions, authorizations, signatures.
- Greet and check in patients, take payments, keep accurate records of payments.
- Contact patients/clients regarding non-payment of invoices or turning over insurance checks.
- Generate and mail correct invoices for patients and training clients.
- Keep accurate records of personal training invoices and payments.
- Maintain inventory of all supplies and inform Office Manager, in writing, what is needed.
- Insurance benefit verification. Pre-certifications and authorizations.
- Act as a liason between patient, doctors, therapist, insurance company, family members, billing staff.
- Filing, faxing, mailing documents.
- Preparation of practice information packets.
- Data entry of patient demographics and insurance information into WebPT and Medisoft EMR.
- Coordinate/correct billing issues with billing staff.
- Ensure the waiting and reception areas are kept orderly and clean, replenishing supplies as needed, such as coffee, milk, tea, coffee maker, sugar, cups, stirrers, etc.
- Texting patients/clients regarding appointments or issues as instructed.
- Having direct contact with the therapist/owner and office manager, keeping them informed about all aspects of the practice.
- Perform other work-related/office responsibilities assigned by the Office Manager or Owner.
- Being accountable for the work, with follow-up and clear communication with others.
- Assisting other staff members with scheduling.
- Providing a daily email to inform coworkers and owner of pertinent information.
- Being detail-oriented.
