Duties

  • Coordinating the administrative workflow of the service;
  • Collecting, coordinating, and preparing reports, projects, studies, and administrative activities;
  • Maintaining calendars and scheduling appointments and meetings;
  • Maintaining timecards;
  • Preparing procedural manuals, training and reference materials;
  • Performing data entry and compiling data for reports;
  • Operating all types of office equipment as well as word processing, database, and spreadsheet software;
  • Entering and retrieving information in computerized patient records;
  • Monitoring incoming referrals to the surgical service;
  • Monitoring and replenishing office supplies as needed;
  • Placing orders for surgical equipment and instruments;
  • Monitoring fund control points to avoid overspending;
  • Maintaining master files of policies and procedures and reviewing to ensure completeness and accuracy;
  • Maintaining the security of computerized files and access codes;
  • Screening telephone calls and visitors to the office, answering questions and providing information, or referring to the appropriate staff;
  • Arranging staff and office meetings;
  • Typing memos, consultations, letters, and reports from handwritten notes, dictation, and transcription tapes;
  • Performing related duties as required.

Work Schedule: Monday through Friday, 7:30am - 4:00pm.

Qualifications
TYPING PROFICIENCY: This position requires the ability to type 40 words or more per minute. ~AND~
MINIMUM QUALIFICATIONS GS-05: One year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties of this position, and that is typically in or related to the position. To be creditable, specialized experience must have been equivalent to at least the GS-04 grade level in Federal service. Specialized experience includes: organizing and ensuring the completion of the daily tasks of a business office; multitasking and responding to competing demands; planning and shifting focus as priorities change; using a computer and Office Automation software to perform administrative duties; reviewing correspondence for proper grammar, spelling, and punctuation. This experience must be detailed in your resume to receive credit. ~OR~
A bachelor's degree or 4 years of successfully completed education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business or technical school, junior college, college, or university for which high school graduation or the equivalent is the normal prerequisite. One year of full-time undergraduate study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business or technical school. An equivalent combination of specialized experience and post high school education as described that demonstrates your ability to perform the duties of this position. Your experience must be detailed, and transcripts required.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Physical Requirements: The work of this position requires the ability to perform office duties and collect and transport light equipment (no more than 15 pounds) for meetings and conferences. The use of a keyboard and computer is required to access Office Automation equipment and produce reports. Work is performed in the offices of the surgical area and conference rooms. The offices are adequately heated, cooled, and lighted.

Additional information
Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
