Serengeti Care is hiring a Scheduling Coordinator to join our growing company. This is a full-time position, hourly and non-exempt. We are looking for someone with an outgoing personality that has experience in a care setting, is familiar with scheduling, detail-oriented, and capable of working independently.
Basic Responsibilities of the Position:
The Scheduling Coordinator performs a variety of administrative and staff support functions. The Scheduling Coordinator works closely with the Client Care Manager to understand client needs as well as hire and schedule staff appropriately to serve the requirements of our client’s plan of care. This person oversees and/or participates in the coordination and completion of special projects, caregiver compliance and often assists with the administrative duties of the Client Care Manager.
Essential Functions:
· Cordially and professionally greets all callers and staff.
· Establishes and maintains professional relationships with all current and potential staff.
· Schedules caregivers for shifts and communicates the plan of care expectations.
· Assist with recruiting and on-boarding new caregivers.
· Assists with phone screens.
· Communicates with the Client Care Manager about hiring decisions and corrective action decisions.
· Uses EMR to track all client and caregiver schedules and credentials.
· Works closely with the team to make sure schedules are followed and caregivers appropriately clock in and out of shifts for billing and payroll purposes.
· Build new (and manage existing) client schedules, update the employee files and schedules correctly and communicate these details clearly to the clients and their families.
· Assist with client questions and concerns and direct them to Client Care Manager as needed.
· Speaks with potential clients to give information about services and rates and directs them to the Client Care Manager for assessments.
· Ensures customer service satisfaction through follow-up with clients and employees.
· Scheduling staff with the best fit to match to ensure client and staff satisfaction.
· Ability to plan and be proactive in staffing ongoing cases and monthly schedules with continuity and as far into the future as necessary.
· Filing, mailing, and other duties as assigned.
Work Experience and Skills:
- Must have current Washington State HCA or CNA, first aid, CPR and food handler's card.
- Experience working in a care setting, knowledge of scheduling, and experience with electronic records/MARS experience preferred, but not required.
- Experience with data entry, filing, and organizing data preferred, but not required.
- Professional, organized, detail-oriented, and resident/customer service oriented.
