Position Focus:
With limited direct supervision and demonstrating the highest levels of discretion and confidentiality, plan and coordinate the day-to-day administrative functions of Restorative Practices at Yale. Provide administrative support to ensure efficient and effective operation of office, using excellent organizational and communication skills. Respond to general office communications, schedule meetings, manage training and conference logistics, take clear and accurate meeting minutes and other administrative duties as noted below.
Key Areas of Focus include: Working closely with the Director of Restorative Practices to manage and maintain the professional and effective day-to-day operations of the office. Support the work of the office and engage with stakeholders in a restorative manner, i.e., represent the office professionally and with the utmost care and sensitivity in interactions with faculty, students, staff and external partners. Answer and screen telephone calls. Schedule and support training, events, case work and University-Wide Committee (UWC) alternative resolution process. This includes: managing correspondence, securing forums and preparing audio, video and other remote access to events and proceedings. Schedule and coordinate meetings and appointments as requested by the Director. Maintain spreadsheets summarizing trainings, coaching, facilitation and case outcomes. Track expenditures and reconcile financial statements for the office in a timely and accurate manner. Assist the Restorative Practices Director in organizing and preparing supporting documents related to the office budget. Participate in other duties as assigned such as arranging travel, conference registration, room reservations and catering. Perform other functions incidental to office activities and carry out other administrative duties such as ordering and maintaining inventory of office supplies, copying, assembling, binding, scanning, etc.

Essential Duties
1. Provides high level administrative support for project team. Establishes, selects, implements, and coordinates administrative procedures and systems. 2. Serves as principal source of information to project team and impacted students, staff, and faculty on project activities. 3. Works with a variety of project management and spreadsheet software to maintain project timeline and track resource allocation, performance metrics and other project related information. 4. Communicates with project team as necessary to monitor and ensure timely completion of deliverables. 5. Monitors expenditures and reconciles financial statements to ensure compliance with budgetary parameters and guidelines. 6. Composes substantive correspondence and written material. Assists with communication of project status and other information as necessary. 7. Determines logistical needs for meetings, including developing and assembling meeting materials, arranging rooms, catering and transportation as necessary. 8. Oversees, instructs, and coordinates activities of support staff. 9. May perform other duties as assigned.
Required Education and Experience
Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.

Demonstrated advanced proficiency with interpersonal communication (listening, oral and written), including the ability to communicate effectively and sensitively with internal/external parties, including faculty, staff & students.
Required Skill/Ability 3:
Demonstrated strong service orientation and professionalism. Proven ability to handle highly confidential and sensitive information with discretion and care. Ability to pay careful attention to detail and accuracy.
Required Skill/Ability 4:
Demonstrated ability to independently identify and solve problems with multiple stakeholders under time-sensitive deadlines. Ability to exercise strong independent judgment and initiate and complete tasks with minimal supervision.
Required Skill/Ability 5:
Demonstrated intermediate to advanced computer skills; proficiency in Microsoft Office programs (Word, Excel, and PowerPoint), Adobe Acrobat, and Zoom, and capacity and interest to learn new programs or platforms as needed.
Preferred Education, Experience and Skills:
Bachelor’s Degree. Experience in Restorative Practices. Knowledge of Yale University policies, practices and procedures. Technological competency in social media, web design, and content development. Proficiency with audio/visual technology.
