Urban Engineers, Inc. is seeking an Administrative / Project Delivery Assistant to join our CT Office to support the New England Operations. This position will be responsible for managing the day-to-day office administrative tasks and supporting our project managers in delivering quality design and construction projects on time for our valued transportation clients. The ideal candidate will have experience providing similar services in the A/E/C industry.
Responsibilities
Administrative Assistant – Provides office admin support to local office and field office staff, including:
- Assist office manager with confidential administrative tasks.
- Assist on a variety of administrative tasks, functions, reports, presentations, and schedules.
- Assist project managers with project contracts, financial tracking, invoicing, and other tasks for on time delivery.
- Providing invoicing support to assist with reviewing invoices, coordinating subconsultant invoices, coordinating invoicing schedules, and follow up with accounting on project set up, updates, task approvals, etc.
- Serve as liaison for construction employees in remote locations and be their point of contact for obtaining and reviewing timesheets, billing information, expense reports and general questions.
- Coordinate office meetings, volunteer opportunities and other events.
- Provide formatting, proofreading, and editing of project deliverables such as reports, studies, and specifications.
- Order and maintain supplies, and coordinate with vendors to maintain office equipment in good shape.
- Liaison to Landlord for coordinating Facility Management.
- Coordinating conference and event registrations, tracking certifications, and coordinating project team meetings and training.
- Coordinating department mail/fax/shipping, office supply inventory, and minor IT support requests.
- Coordinating with HR staff on needs for job ads, resume distribution, interviews, and offer letters.
Marketing and Proposal Coordinator – Provides support and coordination for the proposal process, including:
- Developing, maintaining, and updating project descriptions, profiles, key staff resumes, and collateral material for marketing and business development meetings.
- Supporting marketing-related submissions for information from internal staff, subconsultants, and others; setting and distributing templates; and reviewing content and Administrative forms to meet deadlines for compliance to RFP instructions.
- Coordinating internal and subconsultant proposals and fees for on-call task scopes of work and letter proposals including assembly of submission to client.
Requirements:
- Associate’s or Bachelor’s degree in Business Administration, Accounting, Communication, Marketing or similar.
- At least two years of experience providing administrative support and / or project delivery support.
- Experience in Engineering, Architectural, Construction or similar professional services firm a plus.
- Strong writing, proofreading, and editing skills preferred.
- Strong working knowledge of MS Office Suite - primarily Word, Excel and PowerPoint.
- Working knowledge of Adobe Creative Suite and Bluebeam.
- Excellent interpersonal, communication, time management, and organization skills.
