We are seeking for a Operations Assistant to become an integral part of our team. The Operations Assistant must work collaboratively with internal administrative/office personnel, external stakeholders, and union tradespeople in supporting and coordinating assigned construction activities to meet both project and company objectives.

The Operations Assistant must work collaboratively with internal administrative/office personnel, external stakeholders, and union tradespeople in supporting and coordinating assigned construction activities to meet both project and company objectives.  


Responsibilities:

  • Support operations and project management personnel in day-to-day aspects or project execution
  • Project kickoff
    • Coordinate with the administrative team to generate and submit front end documentation
      • Insurance and OCIP/CCIP
      • Distribute project team contact info
      • Permitting
  • Document control
    • Process RFIs
    • Process Submittals
    • Input / process Purchase orders and Subcontracts
    • Distribute the above items to the appropriate party (i.e. client, sub or vendor)
    • Build tracking logs for the above items
  • Type documents for project managers or other employees who need assistance
  • Spearhead project closeout
    • Compile O&M manuals
    • Compile As-builts
    • Compile any necessary reports
  • Any other general administrative/operations tasks that may be assigned

 

Qualifications:

  • A minimum of 2-3 years of administrative experience.
  • Associate’s degree is preferred
  • Experience with Microsoft Office 365 preferred
  • Positive can-do personality and ability to be forward thinking.
  • Highly organized, detail-oriented self-starter who is resourceful and can think outside the box.
  • Strong organizational skills and the ability to be extremely flexible while managing priorities with minimal supervision.
  • Strong communication skills (written and verbal), with the ability to effectively communicate and collaborate with a diverse range of people and job functions.
  • Build strong working relationships with colleagues.

 

ADA Physical Requirements:

  • Lifting no more than 20 pounds on an occasional basis and up to 10 pounds frequently.
  • Typically requires standing and walking for 6 hours of an 8-hour day (certain light jobs may require continuous sitting and entail the consistent use of either hand or foot controls).
  • May repetitively climb up to and down 6 steps on different size ladders (6-12’) during a shift and/or use step stools. May frequently climb up and down various steps and stairs.
  • Frequently work in controlled building environments as well as in occasional extreme indoor and outdoor temperatures to include heat and cold, high, or low humidity, noisy and dusty environments.
  • Work with frequent interruptions during a work shift.
