We are an industry leader in community association management and are looking for a talented Receptionist/Front Office Assistant to join our team.
The Receptionist/Front Office Assistant supports and assists general office activities and projects with administrative tasks. Provides customer service support. Under moderate supervision, work may involve contact with homeowners and board members.
Job Duties and Responsibilities:
Duties include but are not limited to:
- Process electronic and hard copy mailings for the office and Associations.
- Proof communications for errors.
- Stuff and seal envelopes by hand or by use of in-house equipment, when needed
- Print documents, envelopes, and labels.
- Utilize postage machine to mail items within deadlines provided.
- Receive, respond to and/or direct incoming calls from owners, Board members and vendors; high volume phone traffic.
- Monitor and respond to emails and voicemails promptly and courteously.
- Data entry.
- Process client clubhouse rentals and payment.
- Process item requests from owners (parking permits, key fobs, etc.).
- Miscellaneous support tasks assigned by Property Managers and Customer Service Representatives.
- Special projects assigned, as needed.
- Keep work-spaces organized and maintained. Alert Office Manager of low supplies and assists in supply stocking and distribution.
- Greeting visitors and receiving/distributing packages as needed.

Requirements
Knowledge and Skills:
- Professional communication skills (phone, interpersonal, written, verbal, etc.).
- Professional customer service skills.
- Great attention to detail and organization.
- Proficiency in Windows.
- Knowledge of Microsoft products (Word, Excel, Outlook, etc.) at a proficient level.
- Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level.
- Interpretation and completion of verbal and/or written instructions at a proficient level.
- Knowledge of general office equipment (copier, fax, phone systems, etc.).
- Knowledge of company policies, procedures, and forms.
- Confidentiality and discretion in the performance of all duties and responsibilities.
- Time management and time critical prioritization skills.
- Must be a quick study in computer-based programs (training to be provided).
- Must be willing and able to perform in a fast-paced environment.
- Must be a self-starter and able to work independently after appropriate training.
- Must be able to reliably commute to work in-office full time.
Education and Experience:
- High School Diploma or GED Required.
- 0 - 3 years of directly related or closely related experience.
Hours of Operation:
Business hours are Monday through Friday 9:00 am - 5:00 pm. Overtime may be required based on company needs.
Pay Rate: $15.69 – 17.00 per hour
