Receptionist & Administrative Assistant
Job Summary:
We are seeking a highly organized and detail-oriented individual to join our team as a Receptionist/Administrative Assistant. In this role, you will be responsible for providing exceptional customer service, managing phone systems, and assisting with various administrative tasks. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to multitask effectively.
Duties/Responsibilities:
- Greets and directs customers and visitors to sales associates.
- Answers phone calls and emails providing the highest quality of customer service.
- Takes credit card payments for the retail counter and works with customers to apply payments to their accounts.
- Operating a cash register and computer system handling daily cash-box activities.
- Prepare deposit slips daily for bank deposits.
- Provide administrative support to various departments as needed.
- Performs data entry and filing tasks for accounts payable purchase orders.
- Receives, records, and distributes packages and mail daily.
- Copies, collates, and otherwise prepares reports for mailings, meetings, and other correspondence.
- Order supplies companywide for all Branches making sure items are shipped correctly and enter invoices for payment.
- Performs other administrative duties as assigned.
Required Skills/Abilities:
- Excellent customer service skills, ability to greet visitors, customers, and colleagues in a friendly and courteous manner, in-person and while answering phones.
- Ability to type at least 45 wpm.
- Ability to communicate in English, verbally, and written.
- Proficient in Microsoft Office Suite or similar software.
- Basic understanding of office equipment.
- Basic understanding of clerical procedures such as recordkeeping and filing.
- Ability to work independently and identify and solve problems.
- Ability to multi-task, prioritize work, and must be strong with details, and strong organizational skills.
Education and Experience:
- High school degree or equivalent
- Minimum 1 year of administrative/clerical work experience.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
