As an Administrative Assistant/Manager for Civil & Environmental Consultants, Inc. (CEC), you will play an important role in the business operations by ensuring that support activities are carried out efficiently and accurately, working collaboratively with the Office Lead, and contributing to organizational goals. The Administrative Assistant/Manager will provide the first impression of the office by professionally answering phones and greeting guests.
You will assist with document preparation and reproduction, help coordinate meetings and office activities, order and stock supplies, answer the phone, and maintain the project electronic filing system. You will also play a key role in our quality assurance program by verifying and requiring that appropriate quality reviews of proposals, reports, plans and documents have been completed. This is a part-time position, anticipating around 20 hours per week in the Gold River (Sacramento) office. This position will support both the Sacramento and San Deigo staff and offices. Flexible work schedule and potential for future full time employment.
The Administrative Assistant/Manager will oversee office and facility services and maintenance activities and interact with landlords or property management companies. This role will also assist with planning and executing client events, and coordination of logistics for internal meetings, conferences or training. The Administrative Assistant/Manager may support the office lead in communication between corporate personnel and their associated functions such as accounting, operations, marketing, human resources, and IT. Other responsibilities of this position include:
- Draft/review documents and presentations, suggesting changes where appropriate
- Provide administrative support for incoming and outgoing correspondence
- Communicate effectively with clients in person, on the phone, and in writing
- Prepare agendas for internal and external meetings
The pay range for this position is between $18-37/hour based on experience and location (in addition, CEC offers overtime pay and other great benefits).
Qualifications
- High School diploma - preferred B.A./B.S. in English, Marketing, Business or related degree;
- 2-3 years of experience in an office environment ( Assistant) /5+ years of experience in an office environment ( Manager);
- Proficiency with Microsoft Office Products and Adobe;
- Attention to detail;
- Problem solving skills;
- Ability to work with technical professionals and manage workflow expectations and deadlines;
- Ability to anticipate workload issues and proactively take steps to assure work is completed on time;
- Ability to multi-task in order to meet short and long term deadlines;
- Excellent communication skills with the ability to speak and write professionally;
- Ability to plan and execute employee and client business development events;
- Ability to manage confidential information with discretion and tact.
