Summary of Position:
Full-time administrative position in a property management office. The work entails typical administrative & front desk tasks including greeting and assisting visitors, confirming appointments with residents and vendors, ensuring overall professional office appearance and assisting property managers to provide excellent service to all clients. Scanning, filing, and uploading invoices. Assisting other team members with their workload, helping to facilitate property repairs and holding weekend open houses is also integral.
Duties/Responsibilities:
§ Greet walk-in clients in a professional manner, assist them if applicable or direct them to the appropriate team member
§ Office administration including filing, emailing, mailing, scanning, taking phone calls, and other administrative tasks as needed
§ Collect mail daily and distribute appropriately
§ Scan invoices and upload to management software
§ Maintain vendor and tenant insurance certificates
§ Maintain office cleanliness and organization
§ Water plants regularly
§ File rental documents and invoices
§ Run errands if requested
§ Ensure the office runs efficiently by maintaining supplies and keeping an eye on office equipment for proper functioning
§ Manage office calendar by scheduling and confirming appointments with vendors and tenants
§ Hold and/or help with open houses on weekends as needed (approx. 1x month)
§ Provide excellent customer service
§ Other office support as needed
Qualifications:
§ AA/AS degree preferred but not required
§ Sound working knowledge of MS Office and Gmail, and ability to learn industry specific software
§ Strong attention to detail on all levels
§ Eager to learn
§ Punctual and reliable
§ Problem solving skills and ability to prioritize
§ Team-Oriented, personable, resourceful, and well organized
§ Excellent communication and customer service skills – bilingual a plus
§ Ability to work occasional weekends as needed

Pay: $18.00 - $20.00 per hour
