San Francisco office of a successful California based labor and employment law firm is seeking an Administrative Assistant. Fast paced, professional work environment necessitates the ability to get along and work well with others. Working in a smaller office requires the flexibility to be able to pitch in as needed and possess a positive team attitude. Position assists attorneys, support staff and clients.
Duties: Include but are not limited to the following:
- Phones: Answering, transferring calls or referring inquiries. Uses a multi-line telephone console. Must be professional and courteous. Answer all incoming calls within 1-3 rings.
- Reception duties: Welcome clients and visitors. Maintain client or visitor internet usage security compliance binder.
- Filing and Storage: Maintain and update physical or electronic client files. Prepare storage boxes for offsite legal storage and maintain storage box list.
- Maintenance of Reception area (including appearance and security), set up and clean-up of conference rooms for meetings, maintenance of common areas including kitchen, library, copiers and supply areas. Includes making coffee, straightening up of all areas, daily cleaning, loading and unloading dishwasher, as well as handling building maintenance requests.
- Update and maintain conference room scheduling. Communicate with attorneys and staff regarding conference room set-up and needs.
- Process daily mail, including copy for distribution to team members, scan and save to appropriate client subfolder in document management system - document management experience a plus, process overnight package deliveries (incoming and outgoing) including maintenance of delivery log.
- Assistance with entering attorney or paralegal timesheets (law firm time entry experience a plus). Word processing and data entry duties for this job requires strong computer skills and excellent attention to detail.
- Assist with other special projects as needed including firm mailings, copy jobs, BD packages, scanning, expense reimbursement reports as well as other clerical duties will be required in this role.
Education Required:
- High School Diploma or G.E.D.
Experience:
- Minimum 1 year experience at a law office setting as an Administrative Assistant a plus, but not required.
