The salary range for this position will be adjusted on April 1, 2024, which will impact the minimum salary for this classification. The new salary range on April 1, 2024, will be $3477.00-4755.00 monthly.

What will you be doing?
As an employee working within the
Child Welfare Program

As an Office Specialist 2, you will:
Provide clerical support and customer service to clients, resource parents, providers, the public, and agency staff in relation to cases at the branch level.
Provide reception support by maintaining order in the lobby area according to office policy and direction.
Answer phone calls and questions, coordinate scheduling, direct people to appropriate services, resources, and community partners.
Releases negotiable items and appropriate documents to clients, families, foster parents, and caseworker.
Act as a backup to the motor-pool coordinator managing vehicles and information pertaining to them.
Complete a high volume of paperwork and electronic data entry including but not limited to, filing documents into case files, closing, and transferring cases, creating case and assessment files, entering personnel management.
What you need to qualify
Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR
An associate degree in any field; OR
An equivalent combination of education and experience.
Essential attributes
We are looking for candidates with experience:
Experience defining and explaining rules, regulations, and procedures for programs and services.
Experience navigating technology, inputting, and retrieving data, navigating various computer systems or databases, including Microsoft 365 programs.
Previous Administrative experience with working knowledge of basic office procedures.
Experience engaging and building collaborative relationships with community partners, agency staff, clients, and impacted communities.
Experience interacting with diverse groups of people in a respectful and compassionate manner.

Working conditions
Your work will be conducted in the office, this is not a remote position.
Employee will work Monday-Friday from 8AM - 5PM; hours of work may fluctuate based on service needs. Occasional, compensated overtime may be required, including evening and weekend work.
You may interact with a wide range of people including some who have experienced trauma and may exhibit challenges in controlling their emotions.
You may encounter stressful situations that will require quick decision-making skills.
