As our client base continues to grow, we are seeking a dynamic and organized Receptionist/Office Administrator to join our team.
Job Overview: We are looking for a highly motivated and detail-oriented individual to take on the role of Receptionist/Office Administrator. This position plays a crucial role in ensuring the smooth day-to-day operations of our office and maintaining a welcoming environment for our clients.
Primary Duties:
Answer phones, and greet clients
- Maintain customer/office communication by logging all customer interactions into CMC-customer management software
Maintain schedules,calendars, arrange meetings, and appointments
Handle private, privileged and sensitive information with absolute confidentiality
Log tax return status in our customer management software
Maintain an orderly filing system for business and individual client permanent records
Digitally track and organize client files
Perform intake of client tax and accounting documents and follow up with clients for missing information
Attend staff meetings and record all action items for team members
maintain office supply inventory & re-order schedule
Maintain office cleanliness and organization of resources with team members
Duties may also include:
Ensure the timely delivery of tax returns once completed, by mail or special delivery
Scan client documents to digital filing system
Process and distribute mail, generic/main incoming emails
Other duties as may be assigned by Managers, or Firm Administrator
Job Qualifications:
At least 1 years of prior office experience
Ability to multitask, problem solve & prioritize tasks
Strong communication, organizational and time-management skills
Proficient knowledge of MS Office products, Outlook, Word and Excel
Comfortable learning and using new software products, firm technology and internal procedures
Willingness to grow and change as the firm grows.
