Job Description
We are currently seeking a full-time, bilingual (English/Spanish) receptionist/legal assistant for our busy immigration law firm.
This position will entail traditional receptionist duties as well as opportunities to assist in legal work, marketing efforts, social media management, and client relations. There will be opportunities for advancement for exceptional performers.
Applicant Requirements:
- Bilingual English/Spanish with full fluency in both languages
- Familiar with PC computers, Windows, and Microsoft Office Suite.
- Familiar with general office equipment (copier, scanner, fax, etc.)
- Fast typist with good grammar
- Warm, friendly personality and positive attitude
- Punctual
- Patient
- Courteous and professional demeanor
- Enjoys speaking on the phone
- Capable of managing multiple technology platforms at the same time (phone, computer, tablet, etc.)
Required Experience:
There is no minimum experience required. However, mature, mid-career candidates who are team players with prior work experience in customer-facing roles are generally the best candidates.
Hours:
8:30am - 5:30pm with a one hour lunch break. This is a full-time, in-office position. Punctuality will be very important in this role. Due to the nature of our clientele, the position cannot be fulfilled remotely.
Job Duties:
- Answer all phone calls and promptly return any missed calls. Route calls to law firm staff as needed.
- Greet clients and visitors
- Provide visitors with intake sheets
- Make and serve coffee/beverages to guests
- Assist attorney with data entry for firm contacts
- Assist with firm marketing by following up with prospects and leads
- Assist with case opening process as guided by attorney.
- Assist attorney with preparation of client cases as directed
- Schedule consultations with attorney for prospective clients
- Process credit card payments over the phone
- Receive documents and payments dropped off by clients
