Job Description
- Answer and direct all inbound phone calls in a professional and efficient manner.
- Ensure that the office maintains adequate supplies.
- Scan all shipped deliveries.
- Assist with the periodic storage of all files.
- Scan all completed orders to Billing.
- Physically take Production Orders out to the shop when a new order is processed.
- Communicate with Inside Sales Reps when orders are going to be ready for pick-up.
- Process quotes out of the house email account.
- Greet visitors and notify those being visited of their arrival.
- Receive, sort, and distribute mail.
- Handle incoming deliveries of office items.
- Prepare office/rooms to receive visitors and keep fully stocked with supplies.
- Notify supervisor of the occurrence and nature of any communication concerning problems with air conditioning, heating, or other building systems.
- Support and participate in the organization’s continual improvement program to conform to ISO 9001:2015 requirements by complying with the Quality Policy and procedures and meeting QMS objectives.
- Other duties as assigned.
- High school diploma, GED, or equivalent secondary education.
- Experience as described below may be accepted in lieu of education.
- Quickbooks Desktop
- Two to five years of experience in an office environment.
- Experience working in an ISO 9001 environment a plus.
- Education as described above may be accepted in lieu of experience.
- Must be proficient in the Microsoft Office suite (Word, Outlook, Excel, etc.).
- Excellent oral and written communication skills are a must.
- Excellent organizational and planning skills.
- Able to work independently.
- Able to interact well with customers and employees at all levels.
- Must have a distinct speaking voice to handle phone calls using a provided script
- Sitting, bending, standing, walking, and typing 8 – 10 hours daily.
- Must be able to work overtime as needed.
- Must comply with any safety or PPE requirements.
- Able to regularly lift and move up to 25 lbs. and occasionally lift 50 lbs.
- Occasional exposure to a production environment.

- The schedule is Monday – Friday, 8:00 – 5:00pm.
- Located in North Houston.
