- Answer/transfer calls and voicemails appropriately, greet patients, families, guests, and staff in a customer-friendly, professional manner.
- Maintain a clean and welcoming waiting space for patients and guests.
- Review and obtain appropriate forms for patient appointments and intakes.
- Distribute incoming and outgoing correspondence including email, mail, and faxes.
- Assist patients by troubleshooting for any telehealth appointment issues.
- General administrative/clerical duties to support clinic and program such as office supply ordering, responding to requests, and maintain calendars for providers.
- Ensure daily, weekly, and monthly reports are appropriately addressed in a timely manner.
- Distribute and collect DHS time study materials.
- Collect and record patient measures data at admission, discharge, and throughout stay.
- Collaborate with Operations Supervisor and Residential Counselor Supervisors to plan staff appreciation events.
- Partner with entire residential team to provide a therapeutic environment for patients.
- Coordinate and schedule meetings, prepare and distribute agendas, prepare and distribute minutes as requested.
- Perform non-clinical administrative tasks as delegated by the Operations Supervisor.
Qualifications:
- Requires high school deploma or equivalent (GED)
- 1-2 years' experience in healthcare support preferred
- Must have excellent customer services skills.
- Ability to processes charts and related documents with concrete variables in standardized situations and apply problem solving techniques to those situations that go beyond this scope.
- Strong computer skills using Microsoft Office products including Outlook and Word.
- Ability to maintain confidentiality is essential.
- Ability to make effective decisions and maintain therapeutic rapport while in stressful situations and circumstances.
- Ability to manage multiple projects and receive direction from various individuals.
- Ability to seek clarification if prioritization is needed or directives are given.
