PURCHASING COORDINATOR
D’Andrea Visual Communications, LLC (“DVC”) is a premier provider of visual communications to the retail, B2B, event, and exhibit industries. Our offices in Cypress, California and North Las Vegas, Nevada offer grand format printing and custom metal fabrication of structures, pillow frames, and light boxes. Our Cypress location also offers lithographic, and small format digital, printing. We are looking for a Purchasing Coordinator to work out of our Cypress, CA location and will manage purchasing for both locations.
The Purchasing Coordinator is responsible for the material, supply, and service purchases for the company.
Duties and Responsibilities:
- Process material requests from project managers and place orders with external vendors.
- Negotiate with vendors to obtain competitive pricing and extended payment terms.
- Research new vendors and request pricing for comparison to existing vendors and a possible transition to the new vendor.
- Work with vendors to determine their minimum order quantities, delivery lead times, price breaks, average inventory levels, and restocking processes so we can make informed decisions regarding our inventory levels and purchases.
- When placing orders, create purchase orders in Pace and update the status of purchases.
- Communicate to requestor if there are delays or problems with their request and work with them on possible resolutions.
- Compare order requests to estimates to ensure quantities and costs are accounted for in the estimate; if not, notify VP of Operations.
- When applicable, suggest alternative material options that will save money or reduce lead times.
- Work with the Production Manager and accounting to eliminate obsolete inventory and maintain maximum and minimum inventory levels.
- Work with the VP of Operations for approval of unusual requests such as equipment, unreasonably large quantities, and non-business related supplies.
- Process returns as required, work with shipping to coordinate returns, update purchase orders accordingly, and enter any credits into Pace.
- Coordinate with Accounts Payable when purchases are C.O.D. or account balances must be paid prior to release of new orders.
- Enter new materials in Pace in the correct category with the correct information.
- Audit existing materials in Pace for correct vendor, pricing, specifications, and notes.
- Create visual management systems for office and facility inventory.
Qualifications:
- Ability to read, write and speak the English language at a 10th grade level.
- Ability to perform basic math calculations including addition, subtraction, and multiplication.
- Ability to learn, identify, and distinguish common grand format printing materials.
- Excellent negotiation skills.
· Ability to communicate effectively with employees and upper management both orally and in writing.
· Strong computer skills with experience in Microsoft Outlook and Excel and the ability to type 40+ wpm.
· Ability to work under pressure while adhering to tight deadlines.

While performing duties of this job you are regularly required to walk, sit, stand, talk and hear. Vision abilities include close vision, distance vision, color vision, depth perception and the ability to adjust focus. You must be able to stand and walk for long periods of time.
Work Environment:
The work environment is a combination of office and manufacturing area, and may require significant time sitting at a desk, using a computer. There will occasionally be exposure to loud noise, fumes, dust and moving equipment in the manufacturing area.
