Procurement Coordinator
Job Overview
Provide administrative support to the Procurement & Subcontracts team as well as coordinate clerical and administrative functions for management.
Key Responsibilities/Accountabilities
- General understanding of Purchase Orders and Subcontracts
- Manage shared Procurement mailbox and direct calls/emails
- Manage Shared Subcontracts mailbox and direct emails/RFAs
- Oversee and/or process day-to-day administrative items per supervisor's authorization; i.e. document control, data entry, expense reports, supply requisitions, incoming mail, update vendor contact list, etc.
- Assist with vendor prequalification process, accounting set up and NDA management
- Initiate the sourcing (price/availability) process by issuing RFQ’s.
- Analyze bids, preparing bid tabs, including recommendations for award.
- Prepare and process purchase orders and change orders.
- Input and maintain necessary data/records in the company purchasing system.
- Process invoices, including resolving AP/AR discrepancies.
- Ensure suppliers meeting contract schedule and delivery requirements.
- Maintain key procurement documents to ensure Project Team is informed of material constraints and risks.
- Assist with Procurement reporting requirements and vendor performance metrics.
- Perform additional assignments per supervisor’s direction
Basic Qualifications
- College degree preferred
- 2+ years’ Purchasing/Buyer experience in the Construction and Manufacturing field. Building materials and tools experience preferred.
- Supply Chain, Construction or Engineering degree preferred.
- Experience in Microsoft (Word, Excel, etc.) is required.
- Experience with supply chain software programs preferred e.g., SAP, JDE, Oracle. ViewPoint and PVault preferred.
- Experience with inventory management preferred.
- Proficiency in Microsoft applications (i.e. Word, Excel, Outlook, and PowerPoint)
- Proficiency in some Construction ERP Software (i.e. Viewpoint, SAP, Sage, etc)
- Preference given for experience in Viewpoint, Pvault, Procore & Intelliwave
- Ability to organize and prioritize numerous tasks
- Effective oral and written communication skills
- Ability to work independently
