Job description

The Purchasing Department oversees the procurement and distribution of the organization’s equipment, supplies, and services. The Purchasing Department is responsible for oversight and implementation of purchasing functions across LAS and provides oversight to ensure efficient and effective use of resources. This work includes management of contracts including administering, negotiating, reviewing, renewing, filing, and evaluating for availability, price, term, and quality of products.

The Purchasing Coordinator will support the Purchasing Supervisor in management of purchasing functions and policy across LAS. This position works directly with stakeholders involved in Purchasing across LAS and the Finance and Account Payables teams. This position requires a great attention to detail and organization, a strong ability to multi-task, and the ability to meet strict deadlines.

ESSENTIAL DUTIES/RESPONSIBILITIES

Purchasing Support and Oversight (65%)
  • Creates requisitions and generates purchase orders in the financial system (Financial Edge)
  • Coordinates purchasing requests across LAS, manages receipts and packing slips and reconciles against inventory and financial systems
  • Tracks purchasing requisitions in the online portal and provides necessary follow-up and troubleshooting, including liaising between internal stakeholders and vendors
  • Works with the Purchasing Supervisor to research and provide recommendations for specific goods and services based on LAS’ purchasing needs
  • Centrally purchases specific goods and service on behalf of LAS and works closely with the Purchasing Supervisor to negotiate with vendors to secure the best pricing and quality
  • Tracks key performance indicators (KPIs) related to LAS purchasing deliverables and vendor performances
  • Manages and reviews documentation associated with competitive procurements to ensure compliance with LAS purchasing policies and procedures
  • Analyzes LAS expense data to inform purchasing decisions and make recommendations

Policy and Process (15%)
  • Works closely with the Purchasing Supervisor to update and implement purchasing policies and procedures
  • Supports the Purchasing Supervisor in developing and administering purchasing trainings and creating relevant resources for LAS stakeholders regarding purchasing policies and procedures

Professional Development (5%)
  • Participate in continuous professional development

Other duties as assigned (5%)

Required qualifications:

  • Minimum of two (2) years of relevant education/work experience

Preferred qualifications:

  • College degree preferred
  • Customer service and/or non-profit work experience preferred

SALARY TRANSPARENCY
The posting reflects the range of potential salaries for the role. The specific salary offers will be dependent on candidate qualifications, including collectively bargained salary steps for unionized roles.

Salary Range/ Salary:$63,000 - $65,000
