Summary
Responsible for the execution of IAHD’s procurement policies and procedures for all departments, including but not limited to, coordinating purchasing activities with all departments, processing daily requisitions and purchase orders, receipts of orders, rectifying discrepancies related to purchases and managing other special projects, as assigned by supervisor(s).
- Obtain necessary approvals from authorized representatives prior to processing purchase orders.
- Ensure accurate and timely processing of requisitions and purchase orders.
- Evaluate vendor quotes for compliance with desired job requirements and specifications.
- Engage in negotiations with vendors to secure optimal prices; present quotes and proposals to the Director of Finance and Chief Financial Officer using the vendor price change form.
- Monitor and manage inventory levels, placing supply orders when required.
- Organize and maintain files, including purchase order records and any other relevant documentation.
- Generate reports detailing inventory levels and purchasing activities to support managerial decision-making.
- Contribute to year-end audits as required.
- Undertake additional tasks assigned by the Director of Finance and Chief Financial Officer.
- Work cooperatively and professionally with IAHD staff, volunteers, vendors and community representatives
- Consistently meet deadlines, be meticulous, reliable, trustworthy and maintain a high level of confidentiality.
- Excellent interpersonal and communication skills; demonstrates a demeanor of composure and professionalism even in challenging situations.
Educational Requirements:
- Associate degree in a related field; minimum 2 years of purchasing experience.
Required Skills:
- Must be proficient in Microsoft Word and Excel (Intermediate to Advance)
- Familiar with computer database systems (Intermediate to Advance)
- Must be able to and willing to learn other accounting software systems.
- Excellent organizational skills, attention to detail and working knowledge of record-keeping.
- Prolonged periods sitting at a desk and working on a computer for up to 8 hours.
- Must be able to lift up to fifteen pounds repeatedly.
- Must be able to climb three flights of stairs as needed.
- Office setting with exposure to the usual office work environment, machinery, and equipment with normal environmental exposures to dust, dirt, noise, and the like.
