POSITION TITLE: Public Works Administrative Assistant
DEPARTMENT: Public Works
REPORTS TO: Public Works Director
JOB CLASSIFICATION: Non-Exempt
POSITION SUMMARY:
The Administrative Assistant provides administrative support for all members of the Public Works department. This individual is the first point of contact in dealing with the public in person or over the phone.
ESSENTIAL FUNCTIONS:
- Answer the phone and respond to persons at the Public Works counter.
- Log complaints, provide answers to common questions or take messages for follow up responses.
- Direct residents to appropriate areas of the Township office for assistance.
- Prepare invoices for work performed.
- Maintain Liquid Fuels Book and keeps it up to date quarterly.
- Maintain package and delivery tickets assuring invoices are accurately paid.
- Process check requests for services and goods received.
- Organize and maintain filing systems.
- Receive and distribute mail and correspondence.
- Receive, log and clear PA One calls.
- Review, verify and process timesheets and document employee attendance.
- Assist in the preparation of bid documents.
- Type and mail correspondence.
- Order supplies, maintain Kitchen, supply closets, and keep neat and orderly.
- Assist in preparation for township events including ording supplies, food preparation, setting up and tearing down.
- Act as Secretary to the Water and Sewer Authority.
- Participate in the coordination and tracking of MS4 related activities.
- Provide assistance at other departmental counters when necessary.
- Review and process street cut permits.
- Maintains On-Lot records and communicates with the Sewage Enforcement Officer any problems regarding On-Lot systems.
- Prepares yearly DEP report for On-Lot systems.
- Other duties as assigned by the Public Works Director and Assistant Public Works Directors.
QUALIFICATIONS:
- High School Diploma or G.E.D. equivalent.
- Two years of administrative experience in the public service field.
- Strong understanding of Township ordinances, policies, rules and regulations.
- Effective oral and written communication skills.
- Possess exceptional public relation skills.
- Thorough knowledge of the Township infrastructure, including streets, waterways, and physical properties.
- Applicable health and safety codes, laws and York Townshiprules and regulations.
- Strong computer skills.
- Basic understanding of accounting.
- Ability to work efficiently and independently under moderate levels of stress and confusion.
- Self-motivated.
- Ability to operate office equipment.
- Prepare and maintain a variety of records and reports.
- Capabilities in Microsoft Office and Quick books.
CERTIFICATIONS / LICENSES:
- Valid driver’s license.
PHYSICAL REQUIREMENTS:
- Sitting or standing for extended periods of time.
- Reaching by extending hand(s) or arm(s) in any direction.
- Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard.
- Ability to see within normal parameters.
- Ability to hear within normal range.
- Ability to move about in an office setting.
- Ability to lift 45 pounds maximum.
- Ability to squat, stoop, and bend, for example accessing file drawers.
Job Type: Full-time
Pay: $18.00 - $19.50 per hour
Expected hours: 40 per week
