General Summary of Position
MedStar Georgetown University Hospital is looking for a Program Coordinator for the Small Bowel Program.
Provides assistance in coordinating administrative functions related to program operations. Coordinates patient intake and scheduling.
Primary Duties
Schedules and coordinates operating room surgical cases following established guidelines and interprets clinical requirements to effectively and proactively manipulate the schedules continuously to achieve maximum scheduling of cases and optimum customer satisfaction.
Proactively communicates to resolve scheduling issues and assures appropriate supplies/equipment are available with appropriate OR, anesthesia, and physician/physician’s office personnel to coordinate the surgical schedule in a timely manner. Addresses problems or complaints promptly and efficiently.
Arranges and informs patients of pre-operative requirements and provide the necessary orders and instructions to patients, departments and primary care physicians following insurance/ institutional requirements. Schedules all departmental follow-up appointments along with any other post-operative instructions indicated by the physician and communicate back to the patient and the appropriate department as necessary. Distributes surgical schedules to all appropriate staff.
Effectively communicates with the OR to minimize risks of delays and confusion between department, patient and the OR. Serves as liaison to physicians and communicates with relevant personnel so that they are informed about any tool conflicts or any other problems with posting or pre-certification. Resolves any potential problematic issues with the appropriate parties involved and, if necessary, inform the patients, physicians and OR of any cancellations or reschedules..
Provides administrative support to the Medical Director Community and the Program Administrator. Preparation of documents and proposals/grants, managing communication activities for the program, maintaining accurate divisionary administrative records/ documents.
Coordinates special events sponsored by the KMMC and their community partners. Works cooperatively with MGUH contacts (ie. Magnet Champions, External Communication, Government Affairs) to assist in fostering positive external relations for the program.
Develops and coordinates monthly schedule of medical student education for students and interns.
Oversees procurement/purchases of office and capital equipment and payment for invoices and prepares forms for reimbursement of staff expenditures. In conjunction with program administrator, develops and tracks budgetary expenses and assists in compiling and updating financial, statistical data and reports, maintains and enhances program databases sufficiently to respond to ad-hoc reporting needs.
Collaborates with health care team members, including physicians, social workers, residents, and other clinicians, as well as Program Administrator to identify barriers to efficient, quality services. Participates in the development, implementation, and evaluation of measures to enhance services provided by the clinic. Assists Administrator with planning, developing, and implementing new policies and procedures for program.
Responds to patient complaints and facilitates resolution of service breakdowns. Monitors patient satisfaction results, reviews with staff, and collaborates in process improvements.
Supports the Program Administrator in monitoring quality of work productivity. Assures that the staff has the appropriate resources to complete their tasks and that administrative policy and procedures are adhered to. Actively participates in departmental and hospital meetings, such as Clinical Practice, Managed Care, Compliance, etc. Represents department at GUH & GPG User Meetings. Relays relevant information to staff, provides training and documents as appropriate, and completes required projects/assignments as relevant to specific program areas.
Maintains competency in all electronic systems required for job functions. Will provide periodic coverage for other team members with patient scheduling/registration duties.
Participates in meetings and on committees and represents the department and hospital in community outreach efforts. Participates in multi-disciplinary quality and service improvement teams.
Qualifications
Associate’s degree, Preferred.
Bachelor’s degree, Preferred.
Consideration will be given to an appropriate combination of education/training and experience, Required.
2 years of medical/clinical office and/or administrative experience, Required.
Ability to perform in a high-pressure environment, previous experience with computerized scheduling systems, and supervisory experience, Preferred.
Excellent interpersonal and communication skills to facilitate and achieve operational goals and effectively resolve problems under stress.
Good computer skills, particularly with computerized scheduling systems.
Ability to work in team atmosphere to assure maximum use of efficient systems operations.
Must possess good mathematical skills.
Must have ability to plan, organize, and prioritize multiple tasks.
Ability to deal effectively and professionally with a variety of individuals.
