Job description

We are seeking aProgram Coordinator who will be responsible for financial and administrative management of The Writing Seminars Department. This includes providing assistance to the Chair of the Department, Director of Graduate and Undergraduate Studies, faculty, visiting faculty, graduate and undergraduate students, invited speakers, and other department visitors.


Specific Duties & Responsibilities


Administrative Support/Operations

  • Coordinate day-to-day operations of the department.
  • Support events, including faculty meetings, reading series, and prospective graduate student visit. Order food and refreshments, book travel, troubleshoot.
  • Take minutes at meetings.
  • Coordinate appointment procedures for faculty and adjuncts.
  • Hire new faculty and graduate students.
  • Process terminations, leave of absences and salary increases.
  • Place orders for office equipment, verify shipments, and resolve purchasing related issues.
  • Update department website using WordPress.
  • Coordinate vendor onboarding for class visitors, visiting writers and contributors to HopkinsReview.com.
  • Dispense and track department keys.
  • Assign offices and prepare for incoming faculty.
  • Work with Facilities and Custodial to maintain department spaces.
  • Hire and supervise Student Worker.


Financial Support

  • Process and submit travel reimbursements, online payments, non-employee travel expenses, honoraria, and other payments.
  • Reconcile budget reports, ensuring that expenses are properly documented, allocated, recorded and filed.
  • Recommend budget lines for department initiatives.
  • Track spending to ensure budgets are not overspent; alert department chair if approaching limit.
  • Approve and allocate Procurement Card purchases.


Special Knowledge, Skills & Abilities

  • Excellent written and verbal communication skills required, including the ability to interact with faculty, students and staff using tact, diplomacy and appropriate judgment.
  • Working knowledge and intermediate experience with internal Hopkins systems preferred (SAP, Concur, Interfolio, etc.)
  • Must be very organized and able to work independently and proactively with minimal supervision.
  • Expert proficiency with standard office equipment and software (i.e. Excel, Word, PowerPoint, Outlook, Adobe)
  • Must be collaborative with excellent interpersonal and client services skills and the ability to build solid working relationships across the School and University.
  • Must be analytical with strong problem solving and critical thinking skills using a proactive approach to analyzing issues to find the information necessary to report and/or resolve the problem.
  • Requires a high degree of professionalism and a commitment to maintaining the confidentiality of sensitive information.

Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Five years progressively responsible related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Starting Salary Range: Min $21.00 - Max $36.50 HRLY (Commensurate with experience)

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing.
