Position Title:Payroll Specialist
Department: Business Office
Reports To: Accounts Payable and Payroll Manager
Classification: Non-Exempt
FTE: 1.0
Salary: $20.35 - $22.40
Essential Job Duties:
• Processing Student and Non-Exempt Staff Payrolls
• Maintain received changes and new hire paperwork (W-4s, payment authorization forms)
• Coordinate with Student Employment to ensure accurate set up of students in authorized positions
• Verify accuracy of hours to be paid and follow up with unsigned or unapproved time cards on a regular basis
• Verify entry of all personnel actions entered by Human Resources for accuracy, ensure benefits, time accrual, taxation and direct deposit have been updated accordingly
• Monitor proper taxation of students, including but not limited to international students, students claiming exemption from tax withholding, breaks from school, and housing taxation
• Complete and balance all aspects of the payroll, preparing payments, leave reporting and closing transactions
2.Employment verifications
• Provide employee verifications for faculty and staff
3. General Office Responsibilities
• Answer any questions for employees and students that may arise in a timely manager
• Maintain Egnyte database and store all applicable documentation in Oracle
• Scanning and review of hard copy documents to Perceptive Content
4. Back up to the Accounts Payable and Payroll Manager
• Ability to process all payroll frequencies
• Provide assistance during the summer payroll process, benefits enrollment review, annual increase review, in preparation and distribution of W-2 forms, 1042-S forms
5. Other Duties

• Complete and meet deadlines for required training and performance management cycle
• Perform other duties as assigned
Work Schedule:
Term: Year-round
Shift: The standard 40-hour work schedule is Monday - Friday, 8:00 am - 5:00 pm; flexible work arrangements can be proposed and are subject to approval by HR and relevant supervisors.
Required Qualifications:
Education: Associate's degree or equivalent work experience
Experience: 1 year + of payroll processing or relevant experience
Preferred Qualifications:
Education: Associate's degree in Accounting or Business; Fundamentals of Payroll Certification designation
Experience: Experience processing payroll on Infor or Oracle Cloud
Prerequisites:
Employment in this position is conditioned upon successful completion of a background check, which may include criminal background checks, reference checks, verification of work history, verification of any required academic credentials, licenses, and/or certifications, a motor vehicle check, verification of a DOT certification, a credit check, employment eligibility verification, and/or a pre-employment physical. Whether a background check is deemed successfully completed will be at the sole discretion of St. Olaf College.
