Overview:
We are seeking a detail-oriented and experienced Payroll Coordinator to join our team. As a Payroll Coordinator, you will be responsible for managing all aspects of payroll processing and ensuring accurate and timely payment to our employees. This is a critical role within our organization, and we are looking for someone who is knowledgeable in corporate accounting practices and has experience with various payroll systems.
Responsibilities:
- Administers the District’s time and attendance system, including training and instructing department personnel in system/software use.
- Establishes computer records for new personnel in Kronos, including license requirement, pay rule, schedule groups, labor level and reporting group.
- Reviews all District time and attendance records for completeness; ensures all hours are accounted for prior to payroll processing.
- Executes interface between time and attendance system and payroll system.
- Works collaboratively with department heads to ensure all time is properly/accurately recorded.
- Determines entitlements to holiday pay based on personnel shifts/scheduling; determines entitlements to overtime according to policy and procedure; determines any non-pay time.
- Ensures all absentee time other than leaves is properly charged; reinstates any sick/paid leave charged in error.
- Processes Sick Leave Incentive payout on annual basis for 10 month and 12 month employees.
- Provides salary information to outside requestors including Mortgage/Credit verifications.
- Computes and enters shift differential charges and retroactive pay increases.
- Reviews and corrects payroll edits prior to processing; introduces payroll data into the payroll processing system.
- Tracks levies per instructions for IRS, child support and loan defaults.
- Ensures all time edits are authorized by employees and approved by managers.
- Compares paid insurance invoices to withholding. Maintain database of discrepancies for review/correction. Analyzes payroll discrepancy forms submitted and resolves issues.
- Analyzes payroll liability account balances to verify correct posting of transactions. Prepares account reconciliation proposing journal entries as necessary.
- Analyzes bi-weekly salary and tax data for calculation of quarterly 941 tax returns.
- Tests and implements upgrades for time and attendance and payroll computer systems.
- Calculate worker’s compensation and short term disability due to employees.
- Prepares and distributes W-2’s; direct deposit actions, and other payroll documentation as authorized on PCNs.
- Prints paychecks; transmits direct deposits funds; transmits retirement contribution data.
- Produces payroll reports and deduction registers; maintains payroll files.
- Audit all employee timecard edits to ensure required documentation and signatures were submitted to payroll.
- Prepares and posts Monthly Journal Entries.
- Prepares biweekly check requests.
- Prepare and reports payments of the employers and employee’s withholding taxes, Valic Pension, and Garnishments biweekly.
- Prepares and sends direct deposit file transmission and control pay files to the Bank.
- Process Leave Balance interface from the payroll system to the time and attendance system.
- Report monthly number of employee’s to US Department of Labor.
- Prepares and report payment of FRS pension monthly to FRS online.
- Reports new hires to Florida New Hire Reporting Center bi-monthly.
- Computes and enters Additional Medicare taxes for qualified employees.
- Prepares bi-weekly 941 Excel spreadsheets.
- Calculates monthly compensated balances and prepares journal entries.
- Emergency duty may be required of the incumbent that includes working in Red Cross shelters or to perform other emergency duties including, but not limited to, responses to threats or disasters, man-made or natural.
Education: High school diploma or GED required. Associate's degree in Business Administration, Accounting, Finance, or related field preferred.
Experience: At least three (3) to five (5) years previous experience involving accounting functions required.
