Who You Are:

As a Payroll and Benefits Coordinator, you will be responsible for overseeing and supporting payroll, benefits, leave of absences, and medical accommodations for employees in the United States. Additionally you will support the payroll and benefits administration of team members
hired via our Employe of Record (EOR), Deel. Those EOR team members include countries such as Mexico, Canada, Serbia, and the Philippines. This role involves meticulous attention to detail, compliance with global regulations, and effective communication with various stakeholders. Additionally, you will play a key role in data administration for the People Operations department, ensuring accurate and secure record-keeping.


About the Role:

HighLevel is experiencing tremendous growth and we are excited to be adding a People Operations Payroll and Benefits Coordinator to our team. This position plays a crucial role in managing and facilitating various aspects related to compensation, benefits, and related administrative processes within our Global organization. This key role will provide timely and accurate payroll processing, the administration of benefits, the management of leave of absences and medical accommodations, ensure compliance with global employment laws and provide support with any communication and employee queries related to the role. This role will be a trusted advisor to our team and report to the Director of People Operations while partnering very closely to our People Operations Team Lead.


What Will You Do?
Payroll Management:

  • Administer and process payroll for employees across multiple countries, ensuring accuracy and compliance with local regulations.
  • Collaborate with external payroll service providers and internal finance teams to streamline payroll processes and align on processing/approvals.

Benefits Administration:

  • Support all components of the employee benefit programs, including health insurance, retirement plans, and other voluntary benefits.
  • Communicate with benefits providers to resolve issues and enhance the overall benefits experience for employees.

Leave of Absences and Medical Accommodations:

  • Handle leave of absence requests and medical accommodation processes, ensuring compliance with relevant laws and company policies.
  • Work closely with People Operations Business Partners and management to coordinate accommodations for employees with medical needs.

Global Compliance:

  • Stay informed about employment laws and regulations in the United States, Mexico, Canada, Serbia, and the Philippines, ensuring the company's adherence to all relevant requirements.

Data Administration and Analytics:

  • Maintain accurate and up-to-date People Operations records, ensuring confidentiality and data security.
  • Generate reports and analytics related to payroll, benefits, and HR metrics, providing insights to support decision-making.

Communication and People Operations Support:

  • Respond to employee questions in a timely and responsive manner while escalating issues as needed.
  • Support with People Operations projects and initiatives as assigned.

You Have:

  • Experience supporting team members in the US is a must and supporting team members in Mexico and/or the Philippines is a plus.
  • Bachelor's degree in Human Resources, Business Administration, or 2+ years experience in a related field.
  • Proven experience in payroll and benefits administration, preferably in a global setting.
  • Familiarity with employment laws and regulations in the United States.
  • Strong analytical skills and proficiency in HRIS and payroll systems preferably BambooHR and Deel.
  • Excellent communication and interpersonal skills.
  • Prior experience with the rapid pace of a startup environment.
  • Prior experience supporting a global workforce.
  • Ability to work effectively in an environment with a high level of ambiguity and change.
  • Ability to collaborate to get things done.
  • A sense of urgency, the ability to take initiative and strong accountability is a must.
  • Strong Google Sheets/Excel proficiency
  • Ability to maintain a high degree of confidentiality, work independently, multi-task, and follow up on projects and issues.
  • Detail-oriented with strong follow-through and organizational skills.
  • Excellent interpersonal and communication skills to interface with all levels of the organization across multiple teams and multiple regions across the globe.
