To build on this team, we are searching for a Parts Support Coordinator. This role will collaborate cross-functionally with several departments to ensure seamless operations for our customers by developing comprehensive recommended spare parts lists and facilitating the procurement process. The ideal candidate will have a fundamental understanding of collaborating with various departments, professional communication practices, manufacturing processes, scheduling, status tracking, order fulfillment, shipping transactions, invoicing, and paperwork reconciliation.
Essential Duties and Responsibilities:
- Collaborate with internal teams to develop recommended spare parts lists (RSPL)
- Generate quotations for RSPL with thorough attention to detail
- Effectively communicate with various types of customers, ensuring professionalism and prioritizing a positive customer service interaction
- Perform clear and accurate data entry in MobiWork portal including part data, manufacturing costs, customer information, etc.
- Negotiate details regarding RSPL quote while serving as a customer advocate
- Manage full life cycle of procurement process regarding spare parts
- Receive purchase orders and maintain appropriate records
- Order materials and/or schedule manufacturing while interacting with relevant departments
- Confirm accuracy of received materials and maintain detailed records
- Coordinate shipment of materials to customer in timely fashion
- Retain and manage excellent tracking information
Qualifications:
- Professional communication style and ability to communicate effectively with internal and external customers
- Proficient negotiation skills
- Focuses on relationship building and does not prioritize transactions over people
- Maintains organized workflows
- Keen attention to detail to ensure order accuracy
- Proficient in MS office software (Word, Excel, PowerPoint, etc.)
- Maintain punctuality in all aspects of work
- Work as part of a team or independently with direction from Manager
- Procurement experience (1-3 years a plus but not required)
- High school diploma or equivalent certification (Vocational education preferred)
