The Supports Coordinator is primarily responsible for performing the required clerical tasks for the program, providing client supervision, and ensuring efficient delivery and coordination of client medical needs to include client transportation. Success in this role includes being flexible and understanding that the day-to-day activities may change on a moment's notice. This individual must be open and available to assist the treatment team in any way needed to support the youth in the program.
This position is expected to function effectively with regular supervision while following the guidelines given on procedures, along with agency, federal, and state regulatory requirements.
ESSENTIAL JOB RESPONSIBILITIES
- Provide transportation to clients for, but not limited to medical appointments, legal appointments, and hearings;
- Effectively report the behaviors of clients during transportation and direct supervision to the treatment team;
- Provide assistance with intake and discharge related transportation to include travel from state-to-state for reunification with a sponsor;
- Maintain the hard copy and electronic medical files for clients;
- Effectively coordinate communication with physician and dental offices;
- Ensure positive working relationships with health care providers;
- Greet and welcome any visitors upon arrival with a positive attitude;
- Promptly address incoming calls and route them to the appropriate person;
- Receive and route incoming postal and inter-departmental mail;
- Perform administrative tasks including document gathering and filing;
- Maintain the system of credit card usage and perform monthly allocations;
- Perform data entry for the various programs;
- Ensure professional boundaries are established and maintained at all times on the job and especially when supervising clients;
- Maintain an adequate knowledge of trauma and attend continuous training in the Sanctuary Model of Care to ensure compliance with trauma-informed environment;
- May be required to perform basic bookkeeping and accounting functions, as needed;
- Provide language interpretation to clients for appointments out in the community, as needed;
- Coordinate payment of medical bills and seek pre-authorization of treatment, as needed;
- Assist the program with seeking additional providers, as needed;
- Complete other duties as assigned.
QUALIFICATIONS:
- High School Diploma or equivalent required;
- Bachelor's degree in a related field from an accredited college, preferred;
- At least one (1) year of prior experience working in an office setting, two (2) years preferred;
- Bilingual: English and Spanish;
- Demonstrated organizational skills;
- Excellent verbal and written communication skills;
- Must be willing and able to provide language interpretation services;
- Must have an ability to provide excellent and compassionate customer service;
- Ability to work independently with strong attention to detail and high level of confidentiality;
- Must be reliable with time sensitive deadlines and tasks;
- Computer skillssufficient to perform essential functions including knowledge of MicrosoftOffice suite;
- Demonstrated knowledge of English, Spelling and Math;
- Working knowledge of office practices, procedures, and basic accounting;
- Must be 21 years old with a valid driver'slicense with at least 3 years driving experience in the U.S. to operate avehicle on behalf of Bethany. Must also pass a Motor Vehicle Records (MVR)check and maintain a reliable vehicle with proof of adequate insurancecoverage;
- Pass a criminal history screen, including state and local child protection agency registries;
- Subscription to and integration of the agency Statement of Faith and Mission Statement.
