Position Summary
We are seeking a detail-oriented and proactive individual to join our team as a Part-Time Office Administrator. This role will be responsible for a variety of tasks related to general office management and organization, employee support, benefits administration, and light HR functions. This role is in person in South Philadelphia, Monday through Friday. While hours are flexible the ideal candidate is available between 10a - 2p.
Responsibilities
- Maintain a well organized office environment
- Maintain / manage office supplies ordering including but not limited to; paper products, kitchen essentials, general office supplies, etc.
- Maintain a clean kitchen and ensure office operations run smoothly
- Receive guests and vendors, answer office phones, and direct incoming calls or take messages
- Manage mail and packages, including distribution
- Organize team-wide lunches and outings
- Communicate with the team about upcoming events, office changes, updates, cleanings, and requirements
- Book travel arrangements for employees
- Assist with building-wide events and marketing efforts
- Prepare the office for tours and visitors
- Organize shared office spaces on a monthly basis
- Organize tenant/neighbor gifts
- Organize and manage staff outings, job-related trainings, and recognition of staff milestones
- Administer various plans and procedures for all company personnel, including developing and implementing employee handbooks and policies in conjunction with senior management
- Assist with posting new job positions, reviewing resumes, contacting prospective candidates, and scheduling interviews
- Assist with local onboarding and off-boarding processes; maintain proper files/ uploading of documents within dropbox and hard copies
- Assist with scheduling of performance review timelines
- Assist with biweekly entering of hourly payroll input
- Assist / maintain communication with general managers for sick time tracking and PTO
Qualifications
- Professionalism and discretion at all times is essential to this role
- Required 2+ years of experience in office administration, or related fields
- Knowledge of federal, state, and local employment laws and regulations is a plus.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
- Proactive approach to problem-solving.
- Attention to detail and organizational skills.
- Ability to maintain confidentiality and work independently.
