Responsibilities:
This is a Part-time position
- Ambassador: Serve as a school ambassador by interacting with students, parents, team members, volunteers and visitors in a positive and professional manner. This includes greeting visitors with a smile, maintaining a professional demeanor while upholding school policies and procedures, and maintaining confidentiality at all times.
- Visitor and Volunteer Oversight: Greet visitors, complete required identification and visitor/volunteer/substitute sign-in procedures, direct to appropriate party, provide information, call students to office for meetings or pick-up by parents and assist/monitor students dropped off early for school and/or not picked up after school, oversees office volunteers for the purpose of guiding and monitoring assignments while ensuring that assigned objectives are achieved.
- Phone Calls: Answer phones in a timely and courteous manner, screen incoming calls, provide information to callers, route calls to correct party, take messages for staff and students, retrieve/resolve messages from voicemail, make outgoing calls for administrators and other authorized personnel.
- Mail: Accept, sign for, open and distribute incoming mail, packages and orders. Prepare outgoing mail. Receive, resolve, and send school email and faxes.
- Student Attendance: Manage process for students arriving after the start of the school day, obtain required verification and document from parent/guardian, update student's attendance status in eSchool, provide student with late pass for classroom teacher. Manage process for students leaving school prior to the end of the school day (early dismissal), obtain required verification and document fromparent/guardian, update student's attendance status in eSchool, call student to office for dismissal with minimal disruption to instruction. Receive absence notes via email, paper or phone, update student's attendance status in eSchool. Maintain accurate records in eSchool to ensure every student is accounted for at all times for the purpose of student safety, school accountability and truancy reporting.
- Information Management: Maintain a variety of manual and electronic documents, files, and records (e.g. student attendance, CUM folders, teacher handbooks, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements. Conduct periodic quality checks of file room to ensure every enrolled student has a CUM file with all required documentation included.
- Data Management: Compile data from a variety of sources (e.g. eSchool, specialized reports, student records, etc.) for the purpose of complying with legal and/or administrative requirements (i.e., September 30th Count, etc.).
- Project Management: Coordinates a variety of projects, functions and/or program components (e.g. meetings, in-service events, enrollment registration, etc.) for the purpose of completing activities and/or delivering services in a timely fashion.
- Main Office Appearance: Maintain the Main Office in a clean, organized and impressive manner. Ensure all areas of the Main Office convey the positive, nurturing and proud school culture.
- Other Responsibilities: Remain flexible and adaptable to the changing needs of the school. Handle additional responsibilities when assigned by administration.
