POSITION SUMMARY

Reception applicants must be highly organized and detail oriented. Our reception team is responsible for oversight of patient and eye care service schedules, communication with patients and other providers, receiving patients for appointments, assuring document completion for services, quoting of expected out of pocket expenses, direction of patient flow, oversight of patient reception areas, conclusion of visit paperwork and processing of patient payments, as well as answering phone calls and appropriately answering or directing patient inquiries.

ESSENTIAL DUTIES AND RESPONSIBILITIES

● Provide patients with exceptional customer service by understanding and assisting their needs.

● Use clear, effective, and professional communication—break down technical terms for customers to easily understand.

● Create and maintain patient files, following company HIPAA policies regarding confidentiality.

● Converse with patients to analyze and assess their visit needs.

● Maintain data and information in a safe and accurate manner.

● Assist communication for patients with other providers.

● Interact with each patient with a caring and friendly attitude.

● Help maintain the attractive appearance of the office.

● Read patient care conclusion notes and create appropriate department tasks

● Finalize patient out of pocket expenses and process those payments

● Initiate billing entries for that date of service encounter

  • Schedule appointments for new or returning patients, collect appropriate data
  • Share in responsibility for schedule updates, patient confirmations, reminders or rescheduled visits

● Maintain stock of appropriate items.

● Participate in phone answering and call direction

● Attend all weekly staff meetings.

● Participate in training opportunities provided by Harbor Eyecare Center.

● Other duties, as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES

● Demonstrate success in a medical, customer service and retail office environment addressing a broad spectrum of customer requirements and preferences.

● High level of proficiency with technology; demonstrate experience by accurately and thoroughly completing electronic medical records and patient management software.

● Demonstrate ability to establish a positive rapport and build relationships to establish customer-trends.

PHYSICAL DEMANDS

● This position requires the ability to communicate and exchange information, utilize equipment necessary to perform the job, and move about the office.

● This is a fully in office position in Exeter, NH.

● Ability to assist wheelchair-bound patients.
