Overview:
The Operations Administrative Assistant manages client interactions and administrative tasks, primarily for operations for but not limited to RUPCO’s Rural Preservation and Landbank affiliates. Key responsibilities include handling phone inquiries, overseeing reception and customer service, tracking client applications and documents, facilitating accessibility services, providing clerical support, maintaining waitlists, scheduling appointments, and assisting with document management.
Position Responsibilities:
- Manage Phone Inquiries and Initial Client Intake: Act as the first point of contact for clients reaching out to Rural Preservation affiliates and the Sullivan County Landbank, ensuring all inquiries are addressed promptly and accurately.
- Oversee Reception Duties and Customer Service: Maintain a welcoming and efficient reception area, ensuring all visitors and clients meet high customer service standards.
- Track and Update Client Applications and Documentation: Keep accurate and up-to-date records of client applications, ensuring all necessary documentation is collected, filed, and maintained systematically.
- Facilitate Accessibility Services for Clients: Identify and coordinate the provision of accessibility services for clients, ensuring they have equal access to our services according to their needs.
- Provide General Clerical Support and Client Follow-ups: Perform various clerical tasks, including data entry, filing, and correspondence. Conduct follow-up communications with clients to ensure their needs are met and to update them on their application status.
- Maintain Client Waitlists and Schedule Appointments for Landbank Properties: Manage and update client waitlists and efficiently schedule appointments for clients interested in Landbank properties, ensuring a smooth and organized process.
- Assists in Document Preparation and Management: Supports the preparation, management, and organization of documents and reports, contributing to the efficient operation of the office and the fulfillment of our organizational goals.
- Perform Additional Duties as Assigned: Take on miscellaneous tasks and projects as directed by the Senior Vice President of Operations, Director of Operations, or Assistant Director of Operations, ensuring flexibility and adaptability to meet the evolving needs of the organization.
REQUIRED QUALIFICATIONS
- Must have High School diploma or equivalent.
- 5 years’ experience is preferred.
- Experience with program administration or rehab management is preferred.
- Must have knowledge of program administration, rehab, construction management, good communication skills, excellent interpersonal skills, and the ability to work with diverse groups.
- Computer proficiency and data base experience in excel, Word required. Ability to learn other technology if required.
- Must be able to get to meetings and training courses as assigned.
Job Type: Full-time
Pay: $21.00 - $22.00 per hour
Expected hours: 35 per week
