OIC CAREER OPPORTUNITY

The Office of the Insurance Commissioner's (OIC) operations unit is seeking a motivated and qualified individual to fill an Administrative Assistant 4 position. This position directly supports the Deputy Commissioner of Operations in our Tumwater office.


As the principal assistant for the Deputy Insurance Commissioner of the Operations Division, you will be responsible for accomplishing complex administrative duties that require independent judgment, confidentiality, organizational and prioritization skills.

This is a Washington General Service position. The annual salary range for this position is $46,596 - $62,568.

  • Manage the Deputy Commissioner's email and voicemail boxes.

  • Manage the schedule for the Deputy Commissioner; making decisions based on priorities of the deputy and organizational needs. This includes setting up audio-visual equipment, webinars, Zoom presentations and telephone conference calls which may include multiple attendees.

  • Organize and prepare the Deputy Commissioner for meetings by developing, printing and preparing relevant documents in advance, including presentation materials.

  • Speak for the Deputy Commissioner on division administrative matters, applying signature authority as delegated.

  • Serve as liaison between the Deputy Commissioner and other staff, receiving and conferring with official visitors and the public.

  • Represent the Deputy Commissioner in division and agency-wide activities and on workgroups and projects.

  • Update agency organization charts, phone list and employee directory.

  • Plan, organize, direct, and coordinate high level administrative duties within the division.

  • Use project management principles to initiate, and coordinate short and long-term projects, including the division's business and strategic plan updates.

  • Serve as division budget coordinator; reports variances to the Deputy Commissioner.

  • Administering the agency's Commute Trip Reduction (CTR) subsidy reimbursement program, to include maintaining and updating policy and procedures. Serve as the CTR liaison between the agency and legislative committees, transportation associations, and other private or public transportation groups or committees.

  • Serve as the designated records coordinator for public records, responding to requests for public information.

  • Serve as the travel coordinator for the division, including making travel arrangements and assisting with travel reporting and reimbursement requests and providing training for division staff on related policies and procedures.

  • Serve as the division's designated purchase coordinator, has delegated authority to approve/deny purchase requests for goods and services and make arrangements for the purchase of items related to agency/division events and meetings.

  • Representing the division on the agency web committee.

Required Qualifications:


  • High school graduation or equivalent.

AND

  • Four years of progressively responsible administrative experience including responsibilities such as composing business communications including policies and procedures, coordinating office operations, establishing procedures for administrative functions, managing records, preparing reports, and managing schedules/calendars.

Formal education may substitute on a year for year basis.

*Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations.

  • Intermediate skill level with Microsoft Excel, Word, Outlook, and PowerPoint.

  • One year of experience scheduling meetings with multiple attendees who have limited availability, both internal and external. (Experience may be gained concurrently with the qualifying experience listed above)

  • Demonstrated ability to type or input at least 50 words per minute (wpm).

Preferred/Desired Qualifications of this position include:

  • Knowledge of government organization and ability to make decisions based on the organizational and political climate.

  • Two years' experience supporting an Executive within an office environment.

  • One year of experience managing an agency-wide commute trip reduction program.

  • Experience in research, data collection and report writing.

  • Advanced skill level in Microsoft Excel, Word, Outlook, and PowerPoint.
