As an employee working within the
Child Welfare Program

As an Office Specialist, you will:
Perform clerical tasks and technical assistance to the various units within the Child Welfare Program.
Perform shared reception duties, including responding to a multi-line phone system, directing clients/general public to appropriate staff/resources, ordering supplies, and maintaining various trackers.
Create new case files and file case information.
Assist with duties associated with the motor pool such as tracking mileage and maintenance of vehicles.
Prepare and send foster home renewal packets for recertification.
Maintain the district foster home mailing list and send email/mail to providers.
Input training records of foster parents as requested by certifiers.
Reviews materials for proper completion and accuracy against manual and computer-generated reports.
Makes corrections, as needed; directly inputs information into computerized system or initiates actions for input by others.
Work cooperatively with other support staff to ensure that priority work is completed timely and accurately.
Provide support for special projects and other support services as assigned by supervisor or lead worker or requested by other supervisors and casework staff in Child Welfare.
- May travel, and/or supervise clients, when needed, to support casework staff.
What you need to qualify
Two (2) years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data; OR
An associate degree in general office occupations and one (1) year of experience with records processing, generating documents, and gathering and sorting data; OR
An equivalent combination of education and experience.

Experience using and communicating clearly and precisely through different tech platforms (examples: Microsoft Teams, email, in person).
Dedication to becoming trauma-informed, anti-racist, and accessible to all regardless of identity status.

Working conditions
Your work will be conducted in an office setting. This is NOT a remote or hybrid position.
The work schedule for this position is Monday through Friday, 8 a.m. – 5:00 p.m.
You may have required travel for the purpose of attending trainings.
Your hours of work may fluctuate based on service needs. Occasional compensated overtime may be required, including evening and weekend work.
You may interact with a wide range of people including some who have experienced trauma and exhibit challenges in controlling their emotions.
You may walk into stressful situations that require quick decision-making skills to ensure safety of those being serviced and your own physical safety. This may also be trauma inducing.
