Responsibilities:
- Greet and Welcome Visitors:
- Warmly welcome visitors, clients, and employees as they arrive at the front desk.
- Ensure a positive first impression and provide assistance as needed.
- Answer and Direct Calls:
- Manage a multi-line telephone system, answer calls promptly, and direct them to the appropriate person or department.
- Take accurate messages and ensure timely delivery.
- Manage Front Desk Area:
- Keep the front desk and lobby area neat, organized, and presentable.
- Maintain a clean and tidy workspace.
- Appointment Scheduling:
- Schedule appointments and maintain calendars for meeting rooms.
- Notify relevant parties of scheduled appointments.
- Visitor Registration:
- Register visitors, issue visitor badges, and ensure compliance with security protocols.
- Communicate visitor arrivals to the appropriate personnel.
- Provide Information:
- Offer information about the organization, its products, and services to visitors.
- Assist with general inquiries and provide basic information to callers.
Qualifications:
- High school diploma or equivalent.
- Excellent communication and interpersonal skills.
- Strong organizational abilities and attention to detail.
- Proficient in using office equipment, including multi-line phone systems.
- Familiarity with office software (e.g., Microsoft Office Suite).
