The Office Manager is accountable for general office administration and management, maintaining the budget, AR & AP, payroll and related HR responsibilities, managing the IT relationship, and maintaining highly organized company files and records, as well as keeping documents and forms current.
Key Functions
1.
- Solicits required information from team members and makes rapid decisions as required to ensure smooth ongoing operations
- Participates in quarterly, annual, and other planning sessions as required – Comes to meetings adequately prepared to discuss and solve issues
- Schedules meetings with Top Leadership as required, prepares appropriate agenda, documentation etc…
- Maintains department calendars and documented systems to ensure all recurring needs are known and performed on a timely basis.
2. Accounting & Budget Management
- Oversees or performs accounts payable and accounts receivable
- Serves as a liaison with fractional CFO and provides necessary documentation, makes adjustments and aligns procedures and reporting as needed.
- Assists in preparing annual budget and monitor throughout year, including providing updates to Leadership Team
- Analyzes project budgets and monitor throughout course of projects in collaboration with the Projects Leader
- Monitors and reports on any unauthorized or over budget spending.
3. Office Management
- Oversees or performs all department administration, including incoming communications (mail, phone, email), file management (hard copy and digital)
- Responds to special requests for information from any applicable regulatory agencies, banks, company’s attorneys,
- Performs recurring or special tasks as required to be in regulatory compliance including state and federal filings, audits, reports, surveys, and other additional standard duties in addition to special tasks that may be unique to property management and real estate
- Maintains licenses, membership subscriptions and other dues
4. Human Resources (HR)
- Administers company benefits programs
- Prepares or authorizes payroll
- Manages employee files and records
- Maintains Employee Handbook with most currently policies and procedures
5. IT Management
- Manage the IT relationship by coordinating with the IT company to schedule and ensure completion of special projects, to solve technical issues, and to safeguard company hardware, software and records and other technical tasks.
6. Other Functions
- Stays informed of all applicable Compliance and Regulatory requirements, changes and issues and works to keep appropriate departments aware.
- Maintains knowledge of local, state, federal rules and regulations related to fair housing requirements, manufactured housing communities, etc..
- Contributes to team effort by accomplishing related results as needed.

Skills & Qualifications:
- Education: High school or equivalent, Preferred: Associates Degree in a related field
- Experience: 2+ years in an Office Management or Administration role Preferred: 3+ years as an accounting and office manager role or an equivalent combination of education, experience and training
- Excellent communication, organization and time management skills
- Basic computer and technology proficiency including Microsoft Office Suite, Google Suite, and adaptable to software-based task management tools, scheduling tools, etc…
