The Michigan Aggregates Association (MAA) is a statewide, member-driven nonprofit trade association that represents over 130 companies engaged in the production of crushed stone, sand, gravel, recycled aggregate and slag. MAA is comprised of various companies that have a focus on addressing issues through collective rather than individual efforts principally in the areas of specifications, mine safety, reclamation, air and water pollution, public relations and legislation.
Job Purpose:
Ensure the efficient daily operation of the association and provide excellent customer service skills whether on the phone or at the association office. Must support all areas of the association through general administrative support including but not limited to data entry, report generation, bookkeeping, coordination of mailings and other constituent materials and will provide logistical support to various association events and meetings.
Responsibilities:
Prepare and pay invoices in a timely manner; ensure that receivables are collected promptly; record cash receipts and prepare deposit slips; and provide information to the external accountant who creates the company’s financial statements
Responsible for greeting guests upon arriving at the office, answering the telephone and general questions; processing all incoming and outgoing mail; ensuring proper functioning of the telephone, fax, photocopy machine, etc.; purchasing supplies and equipment; maintaining the membership data information; updating information to website, Facebook, and twitter; and maintaining the record keeping system (electronic and paper copies).
Support the Executive Director by assisting in preparing the Board/Executive Committee meetings, preparing the meeting room; sending reminders to the various committee members of upcoming meetings; arranging and co-ordinate meetings and events; and maintain the membership contact list.
Skills/Qualifications:
Must have the ability to develop positive working relationships, organizational and time management skills, effective communication and planning skills, an attention to detail and accuracy, follow through on requests and projects and meet deadlines, and be self directed and self-motivated
Experience in office administration and knowledge of Microsoft Office Suite and QuickBooks.
