Job Summary
We are seeking a highly organized and experienced Office Manager to lead. While this role does report to the CEO, practically the Office Manager controls what happens in the day-to-day operations of the practice. Many situations arise during the day and the Office Manager holds responsibility for solving those problems. Naturally, this requires building strong relationships with team members to direct and inspire them during their work. The Office Manager shifts tasks frequently to meet the needs of the team and of patients. A successful Office Manager prioritizes competing demands to make the practice run smoothly. Responsibilities:
- Supervise and manage office staff, including hiring, training, and performance evaluations
- Oversee day-to-day operations of the office, ensuring smooth workflow and efficient processes
- Develop and implement office policies and procedures to improve productivity and efficiency
- Manage office budget and expenses, including fiscal management and financial reporting
- Coordinate with human resources on employee benefits, payroll, and compliance with employment laws
- Maintain electronic health records system and ensure data accuracy and security
- Collaborate with healthcare providers to optimize patient care coordination
- Handle patient inquiries, complaints, or concerns in a professional and timely manner
- Assist with practice management tasks, such as scheduling appointments or managing inventory
Qualifications and responsibilities
- Excellent organizational skills with the ability to multitask and prioritize workload effectively
- Exceptional communication skills, both written and verbal
- Proficient in dental practice management software, dental insurance and billing
- Ability to work well under pressure in a fast-paced environment
The Office Manager is responsible for maintaining a 7/10 net promoter score (culture survey) across the office. The Team leader holds the team members accountable to their agreed roles and responsibilities. The Team Leader manages the completion of tasks in a timely manner to ensure the efficient and productive running of the practice.
Critically the Office Manager is responsible for transmitting communication both upline and downline.
This includes:
● Holding the team accountable to clocking in and out on time for work and breaks.
● Ensuring the office opens and closes on time.
● Hitting stated production targets for the office.
● Setting and hitting deadlines for agreed goals.
● Establishes and updates office policies and manuals
● Maintains office and janitorial supplies within the allotted budget and keeps records of
expenses.
● Supervises and coordinates ordering of dental supplies, inventory and record
keeping with back office.
● Provides invoices, statements and bills to bookkeeper to ensure timely payments.
This position is ultimately responsible for jumping in and solving team member’s and patient’s problems.
The Office Manager...
● Acts as the liaison between the practice and the patients.
● Plans an agenda and meets with the Doctor for a weekly practice review.
● Reviews key goals with the team weekly.
● Generates month-end reports by the 3rd of each month for review with the doctor/CEO.
● Plans an agenda and leads the monthly team meeting monthly.
● Acknowledge the Doctor, Team, and Patients for exemplary actions
● Trains new hires according to protocol.
● Delegates tasks and ensures completion.

Pay: $65,000.00 - $80,000.00 per year
